    Data Systems Manager (8E)

Portland Public Schools is seeking a highly motivated and detail-oriented candidate to join our team as Data Systems Manager. In this role, you will play a vital role in ensuring the accuracy, integrity, and security of our student data within our Student Information System (SIS), Infinite Campus.

    This year-round position includes a generous benefits package, including 20 annual vacation days and full health and dental benefits. The salary range for this position is $70,000 - $90,000.

    ESSENTIAL DUTIES & RESPONSIBILITIES

    The below statements describe the general nature and scope of work being performed by this position. This is not a complete listing of all responsibilities, duties, and/or skills required. Other duties may be assigned.

    Data System Administration & Maintenance

    • Support the deployment of SIS enhancements, including upgrades, security changes, and data structure modifications.
    • Identify, diagnose, and resolve SIS issues for district users.
    • Performs basic SIS setup for schools before the start of the new school year, including facilitating the New Year Rollover and Year End Transition.
    • Stay current on SIS products and developments by participating in user groups and attending conferences.

    • Assist with system maintenance by running regular system processes daily, weekly, or monthly, as needed. Maintains and adheres to the schedule for these system responsibilities.
    • Work with members of the Data Team to implement and test new features in the Sandbox Environment, document the features and update SOP, and assist with establishing the tested features in the Production Environment.
    • Work with the Data Team to ensure the SIS architecture aligns with best practices for scalability, efficiency, and performance.
    • Collaborate with other departments to refine and optimize district data infrastructure, facilitate integration across systems for evolving needs, and ensure data accuracy and interoperability.

    Data Management & Reporting

    • Facilitate timely and accurate data collection for assigned schools to meet State and Federal reporting requirements.
    • Maintain data integrity and accuracy within the student information system (SIS), including running reports to identify potential errors.
    • Assist with data migration, integration, and configuration projects.
    • Work with school-based staff to ensure data in our system is accurate and updated in a timely manner.
    • Conduct regular data audits and implement measures to maintain data accuracy, consistency, and completeness.
    • Perform basic data queries in response to data inquiries from PPS staff and/or outside partner agencies.

    Data Security & Permissions

    • Collaborate with members of the Data Team to develop policies, standards, practices, and security measures to ensure effective and consistent information processing operations and to safeguard information resources.
    • Manage user accounts and access permissions to safeguard data integrity and security within the SIS.
    • Adhere to data security policies and regulations (FERPA, PPRA, HIPAA, etc).
    • Maintain the integrity of confidential information relating to students, staff, and/or district patrons.

    Documentation, Training, and Support

    • Support the Data & Technology Department Help Desk, answering the help desk phone, and efficiently responding to and routing support tickets.
    • Develop and maintain necessary support and training materials on use of the SIS, and respond to training needs identified by schools.
    • Create SIS reference materials (Quick Reference Guides, Standard Operating Procedures (SOPs), and Protocols) for dissemination to end-users, including, but not limited to, Registrars, Secretaries, and Teachers.
    • Delivery SIS training to new and existing employees including, but not limited to, professional development for a large group, small group, and drop-in settings.
    • Provide training and support to school-based staff on data entry procedures to ensure data quality and consistency across the district.

    Collaboration and Communication

    • Serve as a liaison between schools and the district office, coordinating SIS teams and ensuring effective data collection protocols.
    • Communicate with staff in other school districts to ensure student enrollment information is accurate and captured in the state reporting system.
    • Collaborate with other departments to integrate the SIS with other applications and initiatives.
    • Gather feedback from schools on the SIS to identify areas for improvement.

    SKILLS, KNOWLEDGE, & EXPERIENCE

    • Bachelor’s Degree (preferred);
    • At least three years of work experience;
    • Familiarity with Infinite Campus or other student data management systems (preferred);
    • Strong computer skills, especially with Google Workspace tools (e.g., Docs, Forms, Sheets) and Microsoft Office (e.g., Excel);
    • Knowledge and experience using database query logic and reporting tools (e.g., SQL);
    • Ability to execute prewritten scripts and procedures for data migration and scheduled reporting;
    • Demonstrated experience with relational database design and implementation using MS SQL Server;
    • Familiarity with database normalization processes and best practices;
    • Understanding of SFTP, FTPS, TLS protocols;
    • Ability to develop clear documentation and to present technical information in user-friendly language;
    • Ability to handle multiple tasks simultaneously and to prioritize time, projects, and resources to meet deadlines in a timely manner;
    • Strong customer service approach and communication skills;
    • Demonstrated ability to be self-directed and take initiative as well as to work collaboratively;
    • Attention to detail and a commitment to accuracy.

    PHYSICAL DEMANDS

    • Reaching/handling/manual dexterity to operate a computer keyboard, mouse, and other computer components.
    • Mobility to work in a typical office setting and use standard office equipment.
    • Must be able to travel to schools within the district.
    • Frequent near and far visual acuity with or without visual accommodation to read printed materials and computer screen or other monitoring devices.
    • Hearing/speech to communicate in person or over the telephone.

    • The position typically requires a standard workweek of Monday through Friday, 8:00 AM - 4:00 PM. While the primary work location is the district’s central office, we offer the flexibility of hybrid remote work to accommodate individual needs.
