CLUSTER COORDINATOR is directly responsible to the high school head coach and the District Athletic Office (DAO). The cluster youth sports coordinator will primarily be responsible for organization, contest site management and communication within their high school cluster.
RESPONSIBILITIES CLUSTER COORDINATOR:
- The cluster coordinator is directly responsible to the high school head coach and the district athletic office.
- The coordinator is responsible for designated "home game" site management - could be at a middle school or a high school facility, or private / offsite / non-district facility.
- The coordinator is responsible for the scheduling of practice sessions conforming to the parameters the district office has set forth.
- The coordinator is responsible for equipment maintenance, instructional use and proper storage for their sport.
- The coordinator is responsible for issuing and collection of uniforms and equipment for their sport.
- The coordinator will oversee public relations and communication for their cluster sport. This will include communication with parents, Principals, teachers, coaches, athletes, SUN School Coordinators, collaborative partners, and the cluster community.
- The coordinator will organize and conduct a preseason meeting with parents and participants which will cover expectations, rules and policies of the program, practice and game schedules.
- The coordinator will distribute and collect all athlete participation paperwork and fees for their sport and keep the youth sports athlete database current (required in Google Docs). All fees should be turned in to the district office when collected. Participation form should be kept on file until the end of the season, at which time they should be submitted to the district office for storage.
- The coordinator will work with the district office to make sure that all cluster coaches have been cleared to coach.
- The coordinator will be required to attend district/league organizational meetings.
- The coordinator (or designee) will manage the cluster Google clearance form, updating student clearance/contact information.
- The coordinator is required to complete an incident / injury report via online when applicable. The coordinator is responsible for communicating these incidences / injuries to the school principal, DAO and other personnel.
- The coordinator is responsible for managing the sport website through the high school, PIL or other chosen method.
All cluster coordinators will need to complete the following prior to employment:
- NFHS/ASEP Certification
- First Aid Card (CPR and AED trained)
- District Fingerprinting/Criminal check
- Completion of OSAA Concussion Test
- Completion of OSAA Heat Test
- Cheer and Dance/Drill Spirit Safety Training
- Completion of Portland Public School District paperwork and trainings.

Salary Range: $1,000.00 to $2,500.00
