JOB DESCRIPTION:
The primary duties of the Catering & Events Coordinator will support Catering & Event Managers to maximize the profitability of the hotel while maintaining guest satisfaction. The Catering & Events Coordinator shall strive to provide exceptional service to both internal and external guests consistently and will be responsible for exemplifying the Hotel's culture.
THE ESSENTIAL JOB FUNCTIONS OF THIS JOB ARE:
Job Tasks
- Interact with sales and catering team to ensure clients plans and expectations are met
- Oversee the maintenance and update of group files
- Maintain a calendar of upcoming groups and important deadlines
- Assist with handling the details and banquet event orders for internal hotel events, as needed
- Answer incoming calls. Respond to client inquiries and questions in a friendly and efficient manner
- Accurately produce proposals, catering contracts, and group resumes for Catering Managers
- Heavy email correspondence to clients and internal departments
- Promote positive attitude and relations with guests and employees
- Prepare and distribute amenity forms for group VIPs, according to hotel procedures
- Must be able to facilitate the written and verbal communication process including spelling, punctuation, grammar, basic computational ability
- Possess proficiency in hotel sales system, Delphi.fdc and related activities
- Must be part of the solution and have problem solving ability
- Excellent inter-personal skills with a commitment to service excellence
- Must be able to speak, read, write and understand the primary language used in the workplace
- Comply with all Portola Hotel & Spa safety/health policies and procedures

EDUCATIONAL / CERTIFICATION / LICENSE REQUIREMENTS:
High School Diploma or equivalent Required
Associate of Arts Degree or above, preferred
Consideration of prior work experience will be a plus
REQUIRED KNOWLEDGE, SKILLS, & ABILITIES:
- Proficiency in MS Office (Work, Excel, PowerPoint, Outlook), (Delphi.fdc) and general office equipment
- Detail oriented and comfortable working in a fast-paced, friendly office environment
- Excellent time management and organizational skills
PREVIOUS EXPERIENCED REQUIRED:
Minimum 1-year working experience in an administrative role in Hospitality, Food & Beverage
