Job Description: Dispatcher *NIGHT SHIFT*
Summary: A Dispatcher; is responsible for taking emergent and non-emergent telephone calls, from facilities and private residences to arrange transportation for patient(s) to and/or from medical care facilities and/or from residences; with the purpose being to assist the patients in gaining medical treatment.
Essential Duties and Responsibilities include the following. Other duties may be assigned at the discretion of management/supervisors and/or owners.
- Must pass post job offer alcohol and drug testing prior to starting assignment
- Must agree to random alcohol and drug testing per PEASI policy
- Must be comfortable and proficient with computer and telephone usage.
- Answers telephones in a polite professional manner stating “Portsmouth Ambulance this is
___________, how may I help you”?
- Confirm or identify as to whether or not the nature of the call for service is an emergency or a non-emergency.
- If an emergency, place the appropriate unit into response action.
- Identify the caller and document their name; and whether they are calling from a facility or private residence.
- Forward schedule calls to the scheduling department if possible. (the primary duty of the dispatcher, during high volume times is the correlation of the computer spread sheet and the dispatching of the crews on runs)
- Write/document all information on the company approved “trip slip” form designed for transportation arrangements.
- Obtain the name of the patient as well as intended destination.
- Obtain and document the patient demographics if the call is for scheduled transport (DOB, weight, method of transportation)
- Document the pickup location address as well as the destination address.
- Document the reason for the trip.
- Document the date and time of the appointment.
- Confirm with the caller the amount of time required for the trip and advise her/him of the time that transportation will pick the patient up at the original location.
- Document any special needs of the patient as well as the method/mode of transportation (cot or wheelchair) and if wheelchair, (does the patient have their own?)
- Document the time and date you have received the request/call for transportation.
- Obtain a call back number and confirm this with the caller.
- Request any insurance information so that authorization for non-emergency transportation may be obtained from the insuring agency.
- Any questions or problems arranging transportation must be brought to the attention of your supervisor.

Job Description: Dispatcher
- Assists with confirming previously scheduled transportation arrangements and communicates with the scheduling staff responsible for populating the dispatch spreadsheets.
- Any changes with previously scheduled trips must be documented and brought to the attention of the scheduling person as well as written documentation on the trip slip.
- Once the trip information is documented, the trip slip is filed by the date of the appointment.
- Ensure that all prior scheduled trips, which are kept filed by date, are included in the grouping of trips that are presented to the scheduling staff for placement on the spreadsheet.
- Maintains a clean work area which includes the absence of clutter as well as regularly disinfecting telephones and computer keyboard and mouse to help avoid the spread of bacteria and influenza type viruses.
- Needs to empty trash cans in work area on a regular basis.
- Must on a regular basis shred all nonessential papers which includes, notes and information that might place the employee or company in violation of HIPPA standards.
- Employee must ensure that all patient information and the privacy rights of that patient are maintained by not revealing any personal patient information to anyone not directly related to the care or processing of that patient’s protected information.
- Follows all PEASI Health and Safety policies
- Demonstrates effective verbal communication skills when interacting with other employees, patients, and customers, and verbal and written communication
- Demonstrates ability to work as a member of a team, and individually as necessary
- Follows all company Policy and Procedures
- Maintains strict confidentiality regarding patient information in accordance with HIPPA regulations, as well as sensitive PEASI company and employee information
Education and/or Experience and/or Certificates:
- High School Diploma or Equivalent.
- Must be of legal, hirable age based upon state and federal employment guidelines.
- Experience with dispatching or medical scheduling is a plus but not required.
- Medical terminology and a basic understanding of medical terminology is an asset but not required.
- Any prior medical office training is an asset.
- Computer skills and keyboarding are an asset.
