JOB TITLE: Director of Athletics and Student Activities
CLASSIFICATION: FLSA Exempt
REPORTS TO: High School and Middle School Principal
SUPERVISES: All coaches, Athletic Trainer, Clerk, and other personnel responsible for athletics and student activities at the high school and middle school.
GENERAL DESCRIPTION:
The overall function of the Athletic Director is to plan, develop and supervise all activities related to the Athletic Program at the high school and middle school in the town of Portsmouth.
QUALIFICATIONS:
1. Minimum Bachelor's Degree; Advanced Degree Preferred
2. Experience as an Athletic Director and/or Head Coach
3. First aid and CPR certification or eligibility for certification
4. NIAAA, RAA or CAA Certification Preferred
KNOWLEDGE: Requires knowledge in Title IX, RI Interscholastic League (RIIL) Athletics, RI Department of Education rules, and School District Policy.
SKILLS: Requires demonstration of strong leadership skills to work as part of an administrative team, promote and support student activities as well as staff needs, problem solving skills to support student success, service-related people skills, verbal and written communication skills, organizational skills to balance demands of a multi-tasking position, and technology skills in the areas of office software, student database systems, and office equipment operation.
ABILITIES: Requires excellent attention to detail and follow through to meet interscholastic athletic responsibilities, significant confidential responsibilities due to student and staff issues, and fiscal responsibilities in the areas of school budget.
PERFORMANCE RESPONSIBILITIES:
RULES & REGULATIONS:
1. Execute the athletic policies and guidelines established by the School
Committee, the Administration, the RI Interscholastic League, and the Middle School Principals’ Committee on Athletics.
2. Promote an overall program of interscholastic athletics, intramurals, and student
activities which educationally sound and in harmony with other phases of the total educational program in Portsmouth.
3. As needed, facilitate conflict resolution between players/participants and
coaches/advisors.
4. Work with respective Principal(s) regarding disciplinary issues.
ATHLETIC ADMINISTRATION:
1. Prepare and administer a budget for the operation of the athletic and
extracurricular program for the high school and middle school.
2. Hire, coordinate and facilitate payment of officials for all contests
3. Coordinate and approve use of facilities athletic and extracurricular events
scheduling.
4. Arrange/coordinate with maintenance or custodial staff for preparation of
facilities for all games/events.
5. Notify the Director of Facilities on any issues relating to our athletic venues. This
would include, but not be limited to, field conditions, spectator stands, scoreboards, etc.
6. Provide supervision for home athletic contests, including the hiring of supervision
of game-day staff, and be responsible for crowd control.
7. Arrange and/or coordinate for payment of coaching and advisor staff according to
district policies and procedures.
8. Keys will be issued to coaches at the discretion of the Athletic Director.
9. Finalize and execute the schedule of games as provided by the RI Interscholastic
League.
10. Maintain a permanent file of players, eligibility lists, medical examinations,
insurance forms, parent consent forms, etc.
11. Maintain a permanent file of all athletic injuries and oversee and coordinate all
claims with the RIIL Injury Fund.
12. Maintain yearly reports of the athletic program including number of participants,
contests, records, etc. Evaluate the total athletic program periodically as to its accountability.
13. Draw up practice time schedules where there is a multi-use of facilities.
14. Maintain and regularly update the Student Athletic Handbook as necessary.
15. Seek and find ways to help support and finance the athletic programs.
16. Approve and coordinate all fundraising activities with the Principal(s) and the
Director of Finance.
17. Administer purchasing and payables for the athletic department.
18. Attend School Committee Meetings when required.
19. Perform other related duties as may be requested by the High School or Middle
School Principal or the Superintendent.
SUPPLIES, EQUIPMENT & UNIFORMS:
1. Take the responsibility for ordering, repairing, cleaning and storing all equipment
within the limit of funds available.
2. Maintain an inventory of all athletic equipment.
EVENTS:
1. Supervise and coordinate the sale and collection of tickets at contests where
admission is charged as well as preparing a financial report of gate receipts. Submit both the report and any receipts to the main office/Principal the morning after every contest.
2. Promote attendance at athletic contests and facilitate ticket sales, including
season passes, by means available.
3. Ensure the district is represented at meetings or conferences relating to
athletics.
4. Verify eligibility of student athletes and submit all proper documentation via
website to RIIL.
TRANSPORTATION:
1. Make necessary arrangements for the transportation of all athletic teams.
2. Verify all participants have proper permission forms for alternative transportation
if requested.
3. Communicate the athletic transportation policy to all coaches and responsible for
away game transportation
COMMUNICATION:
1. Communicate with various stakeholders (i.e., phone calls, email, website, social
media, etc.) and provide a channel for feedback, and work with stakeholders on conflict resolution.
2. Serves as the main point of contact with head coaches in all matters.
3. Conduct mandatory meetings for all prospective student athletes to explain
pertinent policies regarding participation in athletics at Portsmouth High School and Portsmouth Middle School.
4. Publicize games, to include but not limited to the printing of season schedules,
and forwarding information to newspapers, radios, and television stations.
5. Work with established Athletic Boosters Club(s) to promote all athletics.
6. Plan, organize and supervise all athletic awards and awards programs in
cooperation with the Booster Club(s) and Principal(s).
SUPERVISION:
1. Assists Human Resources in the recruitment process for coaches.
2. Conduct interviews of candidates for coaching positions and make
recommendations to the respective Principal(s) and the Superintendent for final approval.
3. Conduct seasonal staff meetings to orient coaches to rules and regulations
4. Encourage professional development of coaches by providing counseling, staff
development, professional materials and information on clinics and professional organizations.
5. Supervise, observe, and evaluate all coaches. A written evaluation of each coach
shall be prepared at the conclusion of each season and forwarded to the respective Principal(s) and the Director of Human Resources.
TERMS OF EMPLOYMENT:
1. Year round position subject to responsibilities of position
2. Hours subject to responsibilities of position and may frequently require evening
and weekend duty

6. Administrative contract with salary and benefits defined by school district
EVALUATION:
Performance evaluated annually by the High School Principal (in consultation with the Middle School Principal).
