Front Desk/Medical Records Float

Positive Changes, LLC, a leader in partial-hospitalization behavioral treatment services for children and adolescents, has an immediate opening for a Front Desk/Medical Records Float. The dynamic candidate will be responsible for working closely with and providing backup support to the front desk and medical records positions at our Oklahoma City and Bethany locations.

The Front Desk/Medical Records Float will operate within the objectives and policies established by Positive Changes, LLC. You will work closely with all staff to plan and coordinate the responsibilities outlined in the job description below.

Duties/Responsibilities

  • Works closely with and provides backup support for front desk and medical records staff as needed.
  • Handle incoming calls, transferring to the appropriate extension, taking accurate and thorough messages, forwarding admission calls to corporate, and directing issues or complaints to the correct department.
  • Greet guests, assist clients with questions and appointments, and provide updates on wait times.
  • Assist clients, families, and staff with the admission and discharge process, ensuring accurate documentation and a supportive environment.
  • Provide secretarial support to public schools associated with the facility as assigned by the supervisor.
  • Maintain and distribute incoming and outgoing mail and faxes for all staff members.
  • Record and update daily and weekly census reports when covering for the front office.
  • Assist staff with copying and maintaining office supplies, including copy machine upkeep.
  • Verify Medicaid eligibility for patients every Monday and send out findings via email.
  • Send client intake information to the billing department for insurance verification when covering the front desk.
  • Prepare and send weekly billing sheets, census reports, and related documents to supervisors and the billing department.
  • Maintain and update patient charts (active and discharged) in compliance with JCAHO and facility P&P standards.
  • Complete chart audits for discharged patients and address documentation issues with supervisors.
  • Accurately check notes and send out delinquency reports by Friday.
  • Scan and attach client chart paperwork into the electronic medical record system daily.
  • Ensure admission paperwork is entered into the electronic health record within 24 hours of patient admission.
  • Update service plans, Calocus, and Bio-Psychosocial logs as documents are received, maintaining logs for new and discharged clients.
  • Process medical record requests within 48 hours, obtaining supervisor approval for any questionable releases.
  • Ensure treatment documentation is accurate and does not overlap with ancillary charges.
  • Complete the discharge checklist, ensuring charts are finalized within three weeks, and collaborate with supervisors to resolve documentation issues.
  • Perform other duties as assigned.

Required Skill/Abilities:

  • Handle confidential information in compliance with HIPPA guidelines.
  • Ability to communicate effectively in the English language.
  • Effectively operate standard office equipment.
  • Demonstrates working knowledge of Microsoft Office.
  • Demonstrate cooperation and active engagement with all employees at the facility.
  • Appropriately receive and provide feedback to other staff members.
  • Take the initiative to complete tasks independently without supervisor prompts.
  • Maintain a positive attitude and professionalism in the workplace.

Education/Experience:

  • High school diploma or equivalent.
  • Minimum of two (2) years of experience in secretarial work and computer operations.
  • Experience in a mental health setting is preferred.

Positive Changes offers a competitive benefits package including medical, dental, vision, life insurance, disability, FSA, supplemental coverages, PTO, and 401k match. Salary ranges from $14.00 to $18.00 depending on experience.
