Job Summary: We are seeking a professional, friendly, and organized Receptionist to be the first point of contact for our company. The ideal candidate will handle front desk responsibilities, provide administrative support, and ensure smooth daily operations within our office. This role requires excellent communication skills, a customer-oriented mindset, and the ability to multitask effectively.
Key Responsibilities:
- Greet and assist visitors, tenants, and vendors in a professional and welcoming manner.
- Answer and direct phone calls promptly and efficiently.
- Manage incoming and outgoing mail, packages, and correspondence.
- Maintain an organized and presentable front desk and reception area.
- Schedule and coordinate appointments, meetings, and conference room bookings.
- Assist with administrative tasks such as data entry, filing, and document preparation.
- Support property management staff with tenant inquiries, service requests, and general office tasks.
- Maintain office supplies inventory and place orders as needed.
- Ensure compliance with company policies and procedures.
Qualifications & Skills:
- High school diploma or equivalent; additional education or training in office administration is a plus.
- Previous experience in a receptionist, administrative, or customer service role preferred.
- Strong verbal and written communication skills. Bilingual (Spanish) required.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office equipment.
- Excellent organizational and multitasking abilities.
- Professional demeanor with a customer-focused attitude.
- Ability to handle confidential information with discretion.
- Familiarity with property management operations is a plus but not required.
