Job description

Front Desk Administrative Assistant

Duties and responsibilities for this role typically include:

  • Be the welcoming face of POST PT, engaging professionally with patients both in person and over the phone.
  • Strategically manage the appointment schedule, optimizing patient flow and availability.
  • Organize and maintain electronic health records with accuracy and efficiency.
  • Collecting copays and ensuring smooth check-in/out processes.
  • Monitoring and following up on patient documentation.
  • Running daily and weekly reports, analyzing trends, and sharing insights.
  • Tracking and managing appointment cancellations and rescheduling.
  • Collaborate closely with the internal team and providers to enhance patient care and streamline office operations.
  • Uphold and ensure compliance with HIPAA regulations.
  • Laundry, and basic clinic cleaning.
  • Must be willing to travel to our Drydock (South Boston) and Acton locations as needed.

Experience

  • Previous experience in a hospitality, clerical, or front desk role is preferred.
  • Strong proofreading skills to ensure accuracy in guest information.
  • Familiarity with medical office procedures is a plus but not required.
  • Proficiency in office software applications such as Google Docs, Sheets, and Gmail.
  • Ability to transcribe information accurately and efficiently
  • Experience as a personal assistant or in customer service is beneficial.
  • Excellent data entry skills with attention to detail.
