Job Description

Essential Duties and Responsibilities: Maintain post-sale contact with customers in order to provide a positive and productive long-term relationship. Serve as the primary contact for assigned accounts. Enhance the company's position and reputation by properly servicing and corresponding with assigned accounts in a professional, dependable and timely manner. Manage customer inquiries regarding job orders in process as well as future orders. Provide proactive support to sales and management, supplying information regarding customer issues, needs and opportunities. Assist in preparing job quotes and sales materials to use to secure new business and up-sell existing accounts. Enhance customer relationship by working closely with customer on the development of targeted solutions and new business opportunities.

  • Perform related duties as assigned by the Office Manager.
  • Maintain compliance with all company policies and procedures and conducts self in accordance with Post Press Specialties core values.
  • Responsible for the account management activities during and after the sale to enable the Sales Representatives to focus on selling activities. Respond to customer requests and inquiries regarding current and future work. Resolve issues that may arise during production of customer products.
  • May provide pre-sales support with customers and discuss the manufacturing capabilities and requirements needed to produce a successful job.
  • May assist sales and/or estimating in the RFP process supplying estimates and determining how to efficiently process a complete job.
  • May collaborate with sales, estimating, and production on the design of the customers’ products
  • Maintain accurate, complete, up-to-date customer files, in addition to detailed account history.
  • May have responsibility for determining the supplies needed for jobs including the use of vendors to supply certain components of the customer product.
  • Coordinate production of components with external vendors as required.
  • Ensure job instructions are entered and verified in the company MIS and queued in to the production schedule
  • Consult with customers throughout production process to keep them informed of the status of jobs, request additional information needed for current jobs and coordinate changes to jobs. May forward/review QC copies with customer and obtain approval of finished materials.
  • Coordinate the resolution of customer or manufacturing issues with customer jobs. Involve appropriate departments to verify the issue and determine the root case. May make recommendations to management on appropriate response to issues that are in the best interest of the customer and the company. Communicate with customers regarding the resolution of issues.
  • Monitor progress of jobs throughout production, confer with manufacturing operations on counts and final runs and ensure the final product meets customer requirements and company standards.
  • Work with shipping personnel to ensure finished product is delivered according to customer specifications and notify customer of shipping schedule as well as costs.
  • Verify the final production quantities and work performed to assemble paperwork for billing purposes.
  • Works closely with billing to ensure that all invoices are accurate and presented on time to customer for payment.
  • Serve as a backup to other Account Managers when they are unavailable.
  • Review job instructions written by other Account Managers for the sake of checking accuracy.
  • Familiarize self with new production equipment and processes for the sake of informing customers of the latest capabilities.
  • Performs other related duties such as hosting customer visits, visiting with customers at their facility, taking outside phone calls, attending daily production meeting, and participates in special projects as assigned.

Education and/or Work Experience Requirements:

  • HS diploma or equivalent required, Bachelor’s degree preferred. 5 years of relevant bindery and office environment experience in place of degree required.
  • Proficient in MS Office Suite, knowledge of FileMaker Pro helpful.
  • Must have excellent oral and written communication skills to communicate effectively across departments and with customers.
  • Ability to operate both independently and collaboratively as required.
  • Must be detail oriented and have strong organizational skills with ability to manage deadlines and prioritize workload and make adjustment to meet business needs.

Physical Requirements:

  • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards.
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.
  • Provide department information to supervisor and colleagues by telephone, in written form, e-mail, or in person.
  • Some bending and reaching required occasionally.
  • Able to lift or move 25 pounds occasionally.

Schedule:

  • 8-Hour day shift M-F
  • No nights or weekends
