In this fast-paced, high-energy environment where great guest service is essential, how do we ensure our contracts are prepared, interpreted, and reviewed for accurate procurement of goods and services needed to run the business? As a Contracts Specialist, you will review and interpret contracts to be sent to the Purchasing department before Legal department review. Principal Duties and Responsibilities (*Essential Functions)
- *Review and analyze contract terms and conditions, and interpret contract requirements for the procurement of goods, materials, and services for PCH before sending to the Purchasing department and Legal department for review and processing.
- *Work with leadership on reviewing contracts and the details of the contract to ensure all information is accurately understood and communicated to all parties affected by the contract before sending for legal review.
- *Prepare and send the Request for Legal Department Review form for contracts.
- *Audit and monitor contracts to ensure compliance with policies and procedures including ensuring that all contracts have been processed in a timely manner.
- *Coordinate, organize, and document contracts and record information in an appropriate file location.
- *Work with Purchasing department to ensure contracts are processed in a timely manner.
- *Work with department leadership to ensure terms in the contract are being fulfilled.
- *Review expiring contracts or contracts with automatic renewals and advise of amendments, or the need to terminate a contract in a timely manner.
- Work closely with the Purchasing and Accounting departments to ensure proper processes are followed.
- Maintain a high level of ethics and good business relations with all stakeholders to avoid conflicts of interest, and avoid any practice, which could be deemed questionable or cause harm to the business.
- Ensure full compliance with departmental Internal Controls, policies, procedures, and regulations.
- Other duties as assigned.
Job Qualifications
- Bachelor’s degree in Business or related field and three (3) years of contract writing required.
- If no degree, a high school diploma or equivalent and five (5) years of contract writing required.
- Experience in contract negotiations preferred.
- Must be a Notary Public, or become a Notary Public within 6 months of hire date.
- Thorough knowledge of purchasing practices and procedures in the casino/hospitality field preferred.
- Office skills include the ability to use standard office equipment and Microsoft Office applications, including the ability to demonstrate intermediate Microsoft Word skills.
- Ability to maintain organization, meet deadlines, possesses integrity, confidentiality, and discretion in handling confidential information.
- Ability to solve practical problems and deal with stress.
- Ability to interpret a variety of instructions furnished in written, electronic, and oral communication.
- Ability to communicate effectively with departments, vendors, and employees of the organization.
- Ability to analyze and interpret complex documents, such as technical journals, financial reports, and legal documents.
- Ability to respond to inquiries from Purchasing team members.
- Sound understanding of business law, legal contracts and various financial issues including cash flow and working capital.
- While performing the duties of this job, the Employee is regularly required to talk or hear. The Employee frequently is required to sit; use hands to finger, handle, or feel objects, tools, or controls; and reach with hands and arms. Employee must be able to operate a personal computer. The Employee is occasionally required to stand and walk, climb or balance; and stoop, kneel, crouch, and crawl.
- Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.
Working Conditions
The noise is usually moderate. When on the casino floor the noise levels increase. The facility it is not smoke free.
