Pottsgrove's District Office has an opening starting July 1, 2025 for an Administrative Assistant for Curriculum and Technology. This position provides clerical support for both the Curriculum Department, Director of Education and Assessment, the Director of Technology, and the Technology Department in a manner that is professional, diplomatic, and complies with confidentiality requirements.
PRIMARY DUTIES AND RESPONSIBILITIES:
- Liaison between department administrators and other administrators, teachers, support staff, parents and general public.
- Serve as primary contact for the Teacher Induction Program; assist with organizing and documenting required documents; prepare certificates of completion.
- Receive and record approval of all professional leave requests; research and process documents for budget purposes; forward reimbursable expenses for staff to the business office.
- Act as contact for all Act 48 questions; interpret and apply Pennsylvania Department of Education guidelines and maintain eligibility records.
- Act as primary contact for Homeschooling parents and homebound instruction; interpret and apply Pennsylvania Department of Education guidelines when addressing inquiries and preparing correspondence.
- Organize, coordinate and schedule meetings, workshops and in-service activities and special projects.
- Order and assemble materials and supplies for workshops and meetings and curricular materials.
- Reserve facilities and arrange for set-up and catering for school events; contact participants and vendors.
- Assist administrators in budget and purchasing processes including budget projections, monitoring expenses, purchase orders and accounts payable for the Curriculum Department and the Technology Department.
- Assist the staff with issues regarding policy, procedures, and form; independently respond to standard requests not requiring supervisor’s immediate attention.
- Act as primary contact person for Frontline Professional Growth. Properly code Evaluation Types each year. Keep track of the process of observations and evaluations each semester. Inform Administrators of evaluations to be completed by year end. Make any necessary form and system changes for Frontline Professional Growth. Act as primary contact for the professional staff evaluation process. This includes keeping track of observations and evaluations per semester. Inform administrators of evaluations to be completed by year end. Make any form or system changes in the professional development platform.
- Complete yearly the PDE Survey of Systems Used to Evaluate the Performance of Teachers and Principals.
- Perform clerical duties such as answering the phone, opening and distributing mail, scheduling appointments, typing correspondences, and filing.
- Assist Director of Curriculum and Assessment and Director of Technology with purchasing, troubleshooting with vendors, budget issues, workshop preparation and various other clerical functions as needed.
- Assist with duties related to federal programs including filing, keeping accurate student records, and communicating with nonpublic schools.
- Develop and disseminate reports and graphs related to student performance using Microsoft Excel.
- Create documents, pamphlets, and presentations that effectively describe district curricular or staff development initiatives.
- Assist in the planning and presentation of staff development activities.
- Keep records of student technology invoices and payments for technology fees (e.g. . Manage electronic payments and invoicing of technology equipment associated with damaged equipment or items sold by the Technology department via the PGSD online e-commerce platform.
- Receive and produce all plotter printing requests.
- Assist the Director of Technology with the purchasing of equipment.
- Coordinate the components necessary to complete the onboarding process of new employees.
- Perform other duties as assigned by the Director of Education and Assessment and Director of Technology.
QUALIFICATIONS:
- Three (3) years experience in a business office or related work experiences preferred.
- School district experience preferred.
- Submission of pre-employment medical examination (Section 148 of the Pennsylvania School Code).
- Submission of a report of criminal history record from the Pennsylvania State Police (Section 111 of the Pennsylvania School Code).
- FBI Criminal History Record.
- Submission of a clearance report from the Pennsylvania Department of Public Welfare in accordance with Act 151 of 1994.
- Such alternatives to the above qualifications as the Board may find appropriate and acceptable.
LOCATION: District Office
SCHEDULE: Monday - Friday, 8am - 4pm, 12-month position
SALARY: $19.82/hour (subject to change with renewal of Secretaries Compensation & Benefit Plan)
