The Administrative Assistant will play a critical role in supporting day-to-day business operations, coordinating communications, and facilitating the smooth execution of administrative processes. Position Overview
The Administrative Assistant will play a critical role in supporting day-to-day business operations, coordinating communications, and facilitating the smooth execution of administrative processes. This hybrid position requires a professional with strong organizational and communication skills, capable of managing a variety of responsibilities both remotely and on-site.
Key Responsibilities
- Provide administrative support to the Director, Senior Manager and department leads, including scheduling, calendar management, and internal communications
- Maintain and update inventory and vendor records, ensuring accuracy across systems and supporting inventory audits
- Assist with order processing, vendor communications, and invoice tracking in collaboration with purchasing and accounting teams
- Prepare routine sales, service, and operational reports for leadership review
- Coordinate seasonal staff onboarding and documentation, supporting HR in recruitment and compliance efforts
- Monitor and respond to internal and external inquiries via email and phone, ensuring timely and professional communication
- Support in-store operations as needed, including document handling, vendor deliveries, and records maintenance
- Manage office supply inventory and procurement for both remote and in-store teams
- Assist in the documentation and implementation of workplace safety protocols and standard operating procedures
- Coordinate required safety training for retail and service staff, including scheduling and maintaining training records
- Ensure proper documentation of certifications, incidents, inspections, and compliance reports in accordance with OSHA and local workplace safety regulations
- Partner with store leadership to communicate safety updates and reinforce a culture of safety and accountability
- Monitor certifications, expiration dates, and ongoing compliance requirements for relevant staff
- Assist the Uniform Coordinator in maintaining accurate uniform inventories and size records for all staff
- Track uniform distribution and returns at the start and end of each season
- Help coordinate uniform orders and exchanges, ensuring timely delivery and compliance with dress code standards
- Communicate with team members regarding uniform policies and assist with resolving related inquiries
- Support documentation and organization of uniform-related expenses, orders, and vendor records
- 3 years of administrative experience, preferably in a retail, service, or logistics-oriented environment
- Proficiency in Microsoft Office Suite and/or Google Workspace
- Experience with POS or inventory management systems (e.g., Shopify, Lightspeed) is strongly preferred
- Familiarity with bookkeeping or accounting platforms (e.g., QuickBooks) a plus
- Strong attention to detail, time management, and problem-solving skills
- Ability to maintain confidentiality and demonstrate discretion in handling sensitive information
- Excellent written and verbal communication skills
- Interest in the outdoor industry, ski/snowboard experience a plus but not required
- Flexible hybrid work schedule: 3–4 days remote, 1–2 days on-site per week (may vary based on need and seasonality of business)
- Occasional weekend or extended hours may be required during peak retail seasons
- Full range of body movements
- Reach, push, pull, lift, and carry objects that may be heavy (40 lbs)
