Salary : Overview :

We are seeking a proactive and organized individual to join our team as a Sales Assistant . In this role, you will assist our sales department by creating quotes, entering and tracking sales orders, communicating with customers regarding routine inquiries, coordinating travel arrangements for our traveling sales engineers and technical support staff, and performing a variety of other administrative tasks to ensure smooth day-to-day operations.

Key Responsibilities

Quote Creation & Sales Order Entry

Prepare accurate and timely quotes for potential customers based on provided information and pricing guidelines.

Enter and manage sales orders in the companys CRM system, ensuring all details are recorded accurately.

Collaborate with sales representatives to clarify order requirements and address any discrepancies.

Customer Communication

Act as a primary point of contact for routine customer inquiries, providing updates on order status or product information.

Resolve or escalate customer issues promptly to maintain a high level of satisfaction.

Travel Coordination

Arrange travel for sales engineers and technical support staff, including booking flights, hotels, and car rentals.

Prepare itineraries and manage travel-related documentation, ensuring all arrangements adhere to company guidelines and budgets.

Administrative Support

Maintain organized records of quotes, orders, and customer interactions.

Assist with scheduling meetings, preparing reports, and handling general office tasks.

Coordinate with other departments as needed to support ongoing projects and initiatives.

Continuous Improvement

Identify opportunities to streamline processes, improve administrative workflows, and enhance overall efficiency.

Stay updated on product knowledge, pricing changes, and relevant industry trends.

Qualifications

Education & Experience :

High School Diploma or equivalent (Bachelors degree in Business, Marketing, or related field preferred).

Proven experience in sales support, administrative assistance, or a similar role.

Technical Skills :

Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Familiarity with CRM / ERP systems; experience with NetSuite / Oracle is a plus.

Excellent data entry skills and attention to detail.

Soft Skills :

Strong organizational and multitasking abilities.

Excellent written and verbal communication skills.

Ability to work independently and collaboratively in a fast-paced environment.
