SUMMARY: Prepare manuals and other technical documentation including introductions, chapter overviews, descriptions of product and equipment functionality, cover pages, and Tables of Content. Copy and paste cut sheets and drawings, and scan documents to create PDF files. Prepare, update, and maintain PRI resume files for use in project proposals and as assigned, assist in preparing sales brochures, bidding proposal documentation, and in editing documents prepared by Engineers and Project Managers. Support PRI business development with proposal and bid document editing and review as well as social media management to promote the company.
QA administrative duties include but are not limited to document & drawing reviews, preparation of test & inspection reports, updating of QA procedures, maintenance of QA records, internal audits, investigation of quality issues, etc.
ESSENTIAL DUTIES include the following. Other duties may be assigned as needed.
Prepare manuals and other technical documentation for PRI projects and products. Ensures that all manuals and documentation are properly formatted, grammatically correct and all sections are accurate and complete.
- Review project overviews, specification sheets, bills of material, equipment lists and other project related information to determine documentation requirements. Meets with Engineers as needed to obtain additional project or product information.
- Write introductions, chapter overviews, brief descriptions of equipment and product functionality, and prepare cover pages and Tables of Content. Copies and pastes cut sheets and drawings, and scans documents to create PDF files.
- Work with PRI Engineers to prepare manual test sections and instructions for maintenance, troubleshooting and preventative maintenance. Contacts manufacturers to obtain information on their products and guides or manuals, as necessary.
- Send preliminary manuals to the Project Engineers, Project Managers, and Quality Assurance for review and approval and make changes as needed. Forwards approved preliminary manuals to contractors for their review, advises the Project Engineer and Quality Assurance of edits received and as directed prepares finalize manuals.
- Prepare PRI staff resumes for use in project proposals. Maintains resume files and updates resumes as needed.
- Assist in preparing sales brochures and bidding documentation, reviews and edits documents prepared by Engineers and participates in other special projects as assigned. Keeps management, Engineers, and Quality Assurance informed of all problems, issues, and delays.
- Assist Human Resources and other PRI groups (PM, Finance, Engineering, QA, and others) with the review and preparation of various documents and related materials.
- Work with Project Managers and Engineers while ensuring Project Folders are properly maintained, information is available and properly organized.
- Help the business development team review and edit bids, proposals, and other documents as required.
- Manage PRI’s social media presence, including but not limited to Facebook and LinkedIn. Create weekly posts highlighting key company activities and accomplishments. Create monthly social media recap newsletters for internal distribution.
- Assist QA Manager with submittal, document & drawing reviews, preparation of test & inspection reports, updating of QA procedures, maintenance of QA records.
- Will be trained on performing QA Internal Audits and External Audits.
- Will be trained on performing inspections on incoming material and outgoing shipments (preparing report, collecting documentation, photos, filing reports, etc.).
- Develop or update Quality Plans and Procedures
- Work with Project Managers and Engineers with ensuring Project Folders are properly maintained, information is available and properly organized.
- Document and follow-up on Corrective Actions, Customer Complaints, Material Discrepancies and Nonconformances.
- On occasion participate in factory acceptance and customer witness testing in an administrative capacity (recording test results, recording punch list items, maintain attendance sheet, scan reports, etc.).
- On occasion required to represent PRI off site or at field location for customer surveys, witness testing, meetings, inspections, investigation of quality issues, etc.
- Perform other duties as assigned.
EDUCATION and EXPERIENCE
· Bachelor’s Degree in English, History, or a technology related field or the equivalent required work experience.
· Minimum of 1 year experience in writing or working with technical documentation, and a familiarity with engineering or electronics terminology required.
· Knowledge of Microsoft Office suites (specifically Word, Excel, and PowerPoint) and Adobe Acrobat are required.
· Experience with social media preferred.
· Familiarity with website construction and editing a plus.
· Familiarity with ISO 9001:2015 or related Quality Management Systems is a plus
· Ability to multitask and prioritize assignments is required
· Effective oral and written communication, presentation, organizational, PC and keyboarding skills, detail orientation, and the ability to translate technical documents/drawings/diagrams required.
Job Type: Full-time
Pay: $55,000.00 - $75,000.00 per year
