Job Summary:
As Project Coordinator I, you will play a pivotal role in managing and coordinating our complex projects from initiation to successful completion. The Project Coordinator will provide administrative and operational support to field-based Project & Construction Managers to ensure their smooth and efficient project implementation. Throughout the project lifecycle, the Project Coordinator will be responsible for the day-to-day administration of multiple projects and facilitate communication and coordination of project activities. Your ability to collaborate with diverse teams, communicate effectively, and maintain a keen eye for detail will be crucial in ensuring the seamless execution of our projects.
Minimum Qualifications: (Education, Experience, Knowledge, and Skills):
- 1-3 years of professional experience in project management, project administration or project coordination role.
- Ability to be proficient in Microsoft Office (Excel, Word, PowerPoint), Microsoft Project, Visio, Access, SharePoint and Adobe Acrobat.
- Excellent organizational skills with the ability to prioritize tasks and meet tight deadlines.
- Strong analytical and problem-solving capabilities to navigate complex project challenges.
- Ability to gain working knowledge of contracts, change orders, invoicing, project work scopes, purchase orders and standard business documents.
- Exposure to EPC/engineering, construction, installation processes is preferred.
- Energy industry knowledge and experience is a plus.
- Ability to work effectively in a remote team environment.
- Adaptability and willingness to adjust work hours to accommodate project needs across different time zones.
Job Duties and Responsibilities:
- Project Planning and Initiation:
- Collaborate with project stakeholders to define project scope, goals, and deliverables.
- Ensure and track project plans, timelines, and budgets are aligned with client requirements and company standards.
- Participate in feasibility studies and risk assessments to identify potential project challenges and develop mitigation plans.
2. Procurement and Resource Management:
- Coordinate with project & construction managers and procurement teams to source and secure necessary materials, equipment, and services for the project.
3. Project Monitoring and Control:
- Monitor key performance indicators (KPIs) to ensure project progress and milestones are meeting established expectations.
- Regularly review project performance against established KPIs, identifying areas for improvement to the project management team.
- Maintain project documentation, including progress reports, change orders, and correspondence, to ensure accurate record-keeping.
4. Communication and Collaboration:
- Facilitate effective communication among project teams, stakeholders, and clients, providing timely updates and addressing concerns.
- Assist with organizing project meetings, documenting meeting minutes and action items for follow-up.
5. Quality Assurance and Compliance:
- Align with quality control measures to ensure project deliverables meet established standards and client expectations.
6. Project Closeout and Evaluation:
- Coordinate project closeout activities, including documentation, final inspections, and client handover.
- Assist with post-project evaluations to gather feedback, identify lessons learned, and contribute to continuous improvement efforts.
Requirements:
- Educational Qualifications:
- A Bachelor’s degree (Preferred) in Engineering, Construction Management, Project Management, or a related field provides a solid foundation for understanding the technical aspects of EPC projects.

- An understanding of the EPC process, including engineering principles, procurement procedures, and construction techniques, is essential for coordinating various project activities.
3. Organizational Skills:
- Excellent organizational abilities are required to manage project timelines, schedules, resources, and documentation efficiently.
4. Communication Skills:
- Effective written and verbal communication skills are vital for facilitating collaboration among diverse project teams, stakeholders, and clients.
5. Analytical and Problem-Solving Skills:
- The ability to analyze complex situations, identify potential issues, and devise effective solutions is critical for overcoming project challenges.
6. Project Documentation:
- Proficiency in maintaining accurate project documentation, including progress reports, change orders, and meeting minutes, is necessary for efficient project tracking and compliance.
Physical Demands and Work Environment:
- Exposure to sitting for extended periods.
- Ability to travel, drive for long durations, travel by airlines.
