Job Summary:
The Project Coordinator is responsible for coordinating and managing various project activities to ensure successful project execution. This role involves working closely with customers, technicians, and internal teams to oversee project tasks, manage resources, and maintain project documentation. The Project Coordinator plays a key role in ensuring that projects are completed on time, within scope, and within budget.

Duties/Responsibilities:
Project Coordination
- Coordinate project activities with customers, technicians, and internal teams.
- Schedule and organize internal and client kick-off meetings.
Project Billing
- Prepare and process accurate and timely project billing on a weekly basis.
- Ensure invoices comply with project requirements and client expectations.
- Maintain accurate financial records related to project billing and invoicing.
- Focus on billing, invoicing, and project accounting to ensure financial accuracy and compliance.
Resource Management
- Communicate with the Field Service Manager and Operations Manager to determine resource requirements.
- Ensure the availability of necessary resources for project execution.
Documentation and Reporting
- Maintain accurate project documentation, including schedules, scopes of work, and project progress reports.
- Prepare and distribute project status updates to stakeholders.
Client Communication
- Serve as the primary point of contact for clients regarding project-related inquiries and updates.
- Address client concerns and provide timely responses to ensure client satisfaction.
Process Improvement
- Identify opportunities for process improvements and implement best practices to enhance project coordination and efficiency.
Additional responsibilities and tasks as required to support the organization's goals and adapt to evolving business needs.

- Exceptional interpersonal skills with the ability to interact with visitors, customers, and staff in a friendly and professional manner.
- Strong verbal and written communication abilities to handle inquiries, convey messages, and manage project documentation.
- Proven organizational skills with the ability to prioritize tasks, manage time efficiently, and handle multiple responsibilities simultaneously.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other IT tools; ability to quickly learn project management software.
- Strong problem-solving skills with the capability to stay levelheaded under pressure and resolve issues efficiently.
- A positive attitude and an enthusiastic, proactive approach to responsibilities.
Experience and Education:
- High school diploma/GED required.
- Proficiency in Microsoft Office Suite, particularly Word and Excel.
- Associate’s degree from an accredited 2-year technical college preferred.
- 0-1 year of relevant project coordination experience.
Physical Requirements:
- This is an office desk position with no significant physical exertion required.
- Minimal local travel; must have reliable transportation and possess a valid driver’s license.
- Ability and willingness to work occasional overtime as needed.
