What are the responsibilities and job description for the Advancement Coordinator position at Powhatan School?
The Advancement Coordinator plays a key role in supporting all areas of the Advancement Office operations at Powhatan School, which includes the Annual Fund, gift management, alumni relations, corporate and foundation relations and community engagement. This position is primarily responsible for database management, reporting, gift processing, data integrity, event management, and administrative duties. This position reports to and receives direction from the Director of Advancement.
The Advancement Coordinator will be joining Powhatan at a time when the Annual Fund has seen upward growth all while we are raising significant funds for a Capital Campaign that will leave a lasting impact on our students for generations to come.
Primary Job Responsibilities:
- Support all aspects of Powhatan School’s fundraising and community engagement initiatives.
- Utilize the database management system, Raiser’s Edge, to ensure timely and accurate documentation and reporting of philanthropic gifts, acknowledgement letters, and volunteer/donor lists, allowing easy access to constituent data by other school leaders.
- Support school communications and publication efforts by assisting in the creation of print and email materials such as the annual report, magazine, special event invitations, giving appeals, thank you letters, etc.
- Assist in the organization of donor recognition opportunities, community events and special celebrations to help inspire a strong sense of community and pride in the school on the part of parents, alumni, faculty, staff and other constituent groups.
- Create and sustain positive relationships between the school and its constituents, both internal and external, leading them to support the school as donors, volunteers, and advocates in fulfillment of the mission.
- Provide support for advancement and school-wide special events including set up & break down, attendance tracking, collection of materials, and event reconciliation.
- Attend fundraising events, the Family Picnic and other PPA functions, Back to School Night, Field Day, Graduation, admission events, and special faculty/staff gatherings
- Collaborate with the Powhatan Parent Association (PPA) to coordinate volunteers and support PPA-sponsored events.
- Ability to work a flexible schedule, including evenings or weekends for school-wide activities as needed.
Qualifications
- Bachelor’s degree preferred.
- Knowledge of community-building, fundraising philosophy and strategy, and donor relations.
- Donor data management within a non-profit setting experience preferred with a willingness and ability to learn Raiser’s Edge Database and NXT. Direct experience using Raiser’s Edge is a plus.
- Desire to work in a tight-knit school community that is student-centered and values relationships and community building.
- Exceptional people skills with an attention to customer service.
- Ability to work collaboratively as a member of a team.
- Effective written and interpersonal communications skills when communicating with all constituency groups.
- A high level of professionalism with a strong commitment to maintaining confidentiality and a high degree of accuracy in donor records.
- Ability to take initiative with projects to work both independently and with a diverse team.
- Experience with Annual Fund, direct mail and alumni programming.
- Proficiency in Word, Excel, PowerPoint, and Google Suites.
- Experience with graphic design or Canva is a plus.
- Ability to occasionally lift and/or move up to 30 pounds.
Job Types: Full-time, Contract
Pay: $40,000.00 - $45,000.00 per year
