Job Overview:
We are seeking an experienced Contract Administrator to join our team. The ideal candidate will have a strong background in analyzing contracts, project set-up, billings, reconciling jobs, and utilizing various financial software systems. (Viewpoint / Vista a plus!) This position offers the opportunity to work in a dynamic environment where attention to detail and accuracy are paramount.
Essential Duties and Responsibilities:
- Execute and distribute contracts and compliance documents as required
- Enter and maintain contracts and change order information in database software
- Communicate with General Contractors, Construction Managers and Owners regarding missing contracts, change orders & compliance documents
- Ensure all contract related documents are stored according to company policy and procedures and maintain detailed and organized files
- Project Set up in database software
- Collect project lien waivers as required on a monthly basis
- Accounts Receivables / Collections
- Periodically close Job files and archive
- Answer general inquiries using a professional and courteous manner and direct them to the appropriate staff members
- Greet clients and visitors to the organization in a professional and friendly manner
- Use computer word processing, spreadsheet, and database software (including 3rd party) to prepare reports, billings and documents
- Provide secretarial and administrative support to management and other staff as needed
- Other duties as assigned
Experience:
- Prior experience in Construction Accounting preferred with an emphasis in Accounts Receivable, Deposits and Billing
- Proficiency in general ledger reconciliation
- Familiarity with financial software such as Vista by Viewpoint
- Ability to work independently
- Strong 10-key typing skills for data entry accuracy
- Knowledge and ability in the use of a personal computer and software applications (e.g., Microsoft Word, Excel, Outlook, etc.)
- Strong organizational skills and the ability to maintain detailed records
- Ability to communicate effectively both written and verbally
- Ability to use discretion and keep sensitive financial related information confidential
- Ability to multi-task, work under pressure, meet deadlines and be able to thrive in a fast-paced work environment
Knowledge, Skills and Abilities
- High School Diploma, GED or equivalent
- Minimum of two years in the construction industry preferred
- High ethical standards
- Proficient in Microsoft Office Suite
- Proficient in Vista by Viewpoint a plus

Expected Hours:
- (In-Office) Full-time position: 40 Hrs / wk. Monday through Friday: 8:00am to 5:00pm. One hour meal break daily.

- Little to no travel is expected for this position
