General work schedule: Monday through Friday, hours may vary
Classification: Salaried Non-Exempt
Reports to: Location Manager

JOB SUMMARY:
The Grain Operations Administrative Specialist will be responsible for proactively maintaining an ongoing relationship with customers, grain operations staff, and grain origination staff. This position will have daily exposure to customers in a fast-paced environment and will be responsible for managing many aspects of customer accounts. This position will have exposure to grain ticket entry and processing, producer settlements, records management, and accounts payable processing.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:
Assist with compliance reporting, managing driver compliance; managing route information for drivers; slot information for inventory; and various other operational administrative activities
Accurately and efficiently process grain settlements
Research problems, analyze results and organize tasks
Electronically maintain customer files, scanning documents, and uploading information in company software programs
Partner with Origination Team to maintain excellent customer relationships with producers
Develop excellent working relationships with Origination Team
Interact with customers regarding orders and documentation needs
Follow through logistics for shipments from origin to destination
Enter and manage sales/purchase contracts
Research and obtain resolutions of customer issues
Proactively learn and cross train on all CSR responsibilities
Frequently communicates with customers who have inquiries about their accounts. Must be able to exchange accurate information in these situations.
Frequently communicate over the phone with customers regarding their accounts.
Actively grow their knowledge of their customers’ business and market conditions
Receive direction from others and perform independently while managing priorities
Perform other duties as assigned

QUALIFICATIONS, SKILLS, ABILITIES:
High school diploma or GED, or combination of education and industry experience
Must be 18 years of age
Must be able to legally work in the United States
English Proficiency
AGRIS and Salesforce competency a plus
Ability to multitask
Must adapt and perform consistently in a fast-paced environment
A service-oriented focus on both external customers, internal customers, sales and business management colleagues
Exceptional verbal and written communication skills to be utilized daily
High regard for accuracy and attention to detail
Ability to collaborate well in a team-oriented environment.
Must be committed to group goals and objective and continually seek to improve
Excellent organizational skills
Must be an efficient problem solver
Must be able to make moderately complex decisions which impact all aspects of the business
Must have a friendly and positive disposition
Excellent computer literacy and clerical skills
Proficiency in Microsoft Excel, Word, and Outlook required
Ability to learn web based and other computer applications as needed
Ability to adapt and perform consistently in a fast-paced environment

Frequently work around grain and grain dust

TRAVEL REQUIREMENTS:
Travel will not be required for this role unless otherwise specified by the Location Manager
