ACCOUNTING ASSISTANT
$19.00 - $21.00/hour
The Accounting Assistant plays a crucial role by supporting the accounting department perform routine clerical, administrative, and general accounting tasks. This role involves processing financial transactions, maintaining accurate financial records, and contributing to the overall efficiency of the accounting department.
RESPONSIBILITIES:
- Process daily invoicing and related accounts receivable activity. This may include credit memo processing, follow up with dispatch, and emailing customers
- Monitor past due invoices and follow up as applicable
- Set up prospective customers per requests from customer service and sales reps
- Calculate temporary/casual personnel time and report to agencies
- Reconcile certain GL accounts and prepare journal entries as needed
- Track external box and sheet purchases and related reporting
- Maintain energy analysis report
- Calculate and import SKFs
- Backup purchasing clerk with issuing purchase orders and receiving
- Maintain signed BOL/POD files
- Order and receive office supplies and coordinate printer/copier services
- Greet visitors, answer door, keep visitors' log, post visitors name on sign as directed
- Order and inventory office supplies and PPE items
- Comply with company policies and procedures
- Additional duties as assigned
QUALIFICATIONS:
- Intermediate to advanced level Microsoft Excel skills
- Knowledge of SAP or other related Accounting systems
- PC competency (including Microsoft Office and Google Suite apps)
- Strong math background
- Self-motivated; ability to work with minimal supervision
MINIMUM REQUIREMENTS:
- 2- or 4-year degree in Accounting, Finance or other related business degree
- 2 years of general office experience
- Experience in manufacturing environment is preferred
LANGUAGE SKILLS
Ability to write routine reports and correspondence. Ability to communicate effectively with customers and employees of the company.
MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, volume, and net present value.
REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
TECHNICAL SKILLS
Computer literate (MS Office including Word and Excel as well as SAP)
Quality standards – both ISO and QS
PHYSICAL DEMANDS
Employee is regularly required to walk and talk and hear. The employee is frequently required to stand; use hands and fingers, handle, or feel; and reach with hands and arms. The employee is occasionally required to sit. Vision requirements include: close vision, distance vision, color
vision, peripheral vision, depth perception, and ability to adjust focus.
PERFORMANCE MEASUREMENTS
The performance of the Accounting Assistant will be measured as follows:
Operating standards - The employee will need to meet or exceed the Operating Standards set in the areas of quality, safety, planning, customer satisfactions, supervision, efficiency, and productivity. Such standards will be set annually and communicated to the manager.
Personal growth - Each year there will be professional goals developed and agreed to by the manager and supervisor.
Employee relations – The employee will be evaluated regarding his/her behaviors associated with appropriate human interaction, respect, and communication.
Creativity – This will be evaluated by how active the employee is in participating in advancing the business through new and innovative ideas.
