PRC Management Co., Inc. is seeking a detail-oriented and proactive Administrative Assistant to support our Homeowners Association (HOA) operations in Neptune City, NJ. This role is responsible for providing administrative support to property managers, handling homeowner inquiries, processing invoices, tracking insurance renewals, and managing supply orders.
Key Responsibilities:

Provide administrative support, including typing, copying, scanning, scheduling, and answering incoming calls.

Draft correspondence to vendors, contractors, and employees.

Receive and direct homeowner calls regarding maintenance work orders.

Create and track work orders for property managers.

Process invoices from contractors, utility companies, and other vendors.

Prepare and send late letters for delinquent homeowner accounts.

Support property managers with resales and the new owner purchase process, as needed.

Track annual insurance policy renewals for the entire portfolio to ensure continuous coverage.

Complete annual workers' compensation audits as requested by insurance agencies.

Manage and fulfill supply order requests.
Required Skills and Qualifications:

High school diploma or equivalent required.

Strong organizational and multitasking abilities.

Proficient in Microsoft Word, Excel, and Outlook.

Excellent interpersonal skills with the ability to communicate professionally and diplomatically with homeowners and tenants.

Ability to work independently and as part of a team.

Experience in a Homeowners Association (HOA) or property management setting is a plus.

Knowledge of insurance policy renewals is a plus.
