DESCRIPTION:
The Administrative Assistant provides administrative support to the organization with a focus on the Service and Support Administration (SSA) department. This position will be assigned tasks by the Superintendent, Directors and Managers depending on the needs of the organization. The Administrative Assistant will work cooperatively with staff, providers, individuals served, families and guests and maintain a pleasant attitude.
As an employee of the Preble County Board of Developmental Disabilities, the job incumbent shall always comply with all Board policies and shall demonstrate respect for, support the dignity of and observe the rights of all individuals served by the Board and demonstrate sensitivity to diverse beliefs, cultures, values and family structures. The Administrative Assistant shall maintain professional ethics in keeping with the confidentiality of information and material with which the position may come in contact.
QUALIFICATIONS:
- High school diploma or equivalent
- Demonstrated skills in Microsoft including Outlook, Word, Excel and PowerPoint
- Demonstrated skills in customer service
- Advanced skills in written and spoken communication
- Ability to professionally answer the telephone and direct inquiries to proper staff
- Previous experience maintaining complex electronic filing systems
- Must meet all agency employment requirements including but not limited to successful BCI/FBI background screen, drug screen and compliance with driver qualifications. Valid Driver's License, ability to be insurable and access to a motor vehicle. Satisfactory results of registry records checks.
DUTIES:
- Responsible for the administrative duties of the SSA department. These include preparing a variety of complex and confidential materials to include, but not limited to, correspondence, reports, charts, statistical tables, from either minimal oral or written instructions.
- Oversees and maintains the electronic and hard copy filing of individual records and documentation.
- Manage multiple tasks, prioritizing and maintaining organization of those tasks and documents for the organization.
- Makes telephone calls as requested to obtain information, make appointments, etc. Receives calls and takes messages.
- Processes and maintains invoices and records related to budgets and expenses.
- Distributes records and documentation needed for the provision of ongoing services and assist in obtaining needed signatures.
- Interviews individuals served and assist in determining needed services.
- Completes purchase authorizations.
- Meeting minutes as requested.
- Provides preliminary contact with, general public, officials and other visitors. Answers routine inquiries and provides general information.
- Provides back-up support for the Executive Assistant as needed or requested.
- Displays teamwork and a spirit of cooperation.
- Exhibits regular and predictable attendance and punctuality and works over as needed and approved to meet job requirements.
- Performs other duties as assigned

LOCATION: Preble County Board of Developmental Disabilities, 112 W Main Street, Eaton, Oh 45320
WORKING HOURS: 40 hours per week, 8:00AM to 4:00PM, flexible schedule based on individual/agency needs
