Currently we are looking for the best and brightest to fill an immediate opening for Senior Logistics Order Specialist at our Corporate Office in Seattle, WA.
Job Title: Senior Logistics Order Specialist
Job Overview: This pivotal role will be responsible for overseeing all aspects of logistics and fulfillment, ensuring the smooth, efficient, and cost-effective delivery of products to distributors nationally and internationally. The ideal candidate will have extensive experience in logistics and distributor management (3-tier Alc Bev system), transit coordination (LTL/FTL, IMDL), and operations within the wine & spirits industry.
Key Responsibilities:
- Logistics Strategy: Develop and implement strategies for efficient logistics and fulfillment operations, ensuring timely and cost-effective delivery of wine and spirits products.
- Logistics and Distribution Management: Oversee and manage end-to-end logistics & distribution operations, from production facilities to warehousing and distribution channels, ensuring the smooth flow of goods. Supply chain team will require assistance with movement of dry goods. Marketing team will require assistance with shipment of point of sale materials.
- Fulfillment Operations: Work on a team to ensure high-quality fulfillment operations, including order processing, inventory management, and shipping and ad hoc requests.
- Vendor and Supplier Relationships: Establish and maintain strong relationships with logistics providers, shipping carriers, suppliers, and third-party fulfillment partners to enhance service quality and efficiency. Lead weekly or bi-weekly calls with storage facilities and warehouses. As requested, participate in forecasting calls with the distributor to make note of their feedback and act on any changes needed to OTC codes, vintage rolls, replacements dates.
- Inventory Control: Manage inventory levels, ensuring product availability, communicating OOS. Manage transfers of finished goods from production line and inventory transfers to storage warehouses for order fulfillment. Manage vintage roll process ensuring that all prior vintage inventory is depleted and that the next vintage is properly set up and linked, if applicable.
- Cost Management: Continuously analyze logistics operations for cost-saving opportunities and process improvements, balancing efficiency with quality. Manage quarterly RFP process to ensure competitive pricing and maintain service standards. Create and maintain pre-approval cost list for accounting on approved transit costs by lane to ensure smooth and timely approval and payment of invoices. Work with members of team to keep TMS system accurate with assigned carriers for lanes and current costs.
- Reporting and Analysis: Regularly analyze logistics and fulfillment performance metrics, providing reports and recommendations for continuous improvement.
- Customer / Distributor Satisfaction: Ensure that logistics and fulfillment operations contribute to a positive customer experience by meeting delivery timelines and quality standards.
- Cross Functional Communication and Collaboration: Lead communication efforts across sales, marketing, compliance and production for inventory needs, order fulfillment and compliance requirement need.
- Order Processing: Support team in entry and processing of orders into NAV/Vintegrate and send them through EDI or over email to the proper warehouse.
- Costco Private Label Programming: Manage communication, allocation and distribution for Kirkland Signature Sonoma Valley Chardonnay, Kirkland Signature Sonoma Valley Cabernet Sauvignon and Kirkland Signature Wilamette Valley Pinot Noir. This involves processing orders, posting invoices from the producer, tendering loads for shipment, monitoring costs and exceeding service level expectations for Costco daily.
- Storage / Warehouse Transition: Manage the timely and cost-effective movement of inventory out of Alexander Valley Cellars in Windsor, CA to Ankaa in Fairfield, CA. This involves moving future vintage and excess inventory first, then likely moving in brand groups, with “Proof ’ brands moving last to minimize shipment interruptions.
- Manage “Direct” Shipments that Bypass Distributor – This includes Costco, Trader Joes, Ralph’s Aldi, BevMo/GoPuff and Alaska Airlines. Ensure CRV is included in direct shipments going to locations in CA.
- Approve Freight and Logistics Related Invoices Weekly: Invoices will be placed in an approval queue by the accounting team. This role is responsible for reviewing and approving each invoice or asking the accounting team to collect more information. Billbacks and unsellable invoices will be sent by Billbacks team which require review and approval. Billbacks above a certain threshold will default to Chief Revenue officer for review and approval.
- Inventory Tie Outs: Ensure timely completion of inventory tie outs as recapped by the inventory accounting team. This will require investigation and correction of invoices, where applicable.
