Precise Veterinary Management (PVM) specializes in launching and managing veterinary specialty hospitals, ensuring operational excellence from the ground up. We are currently overseeing the development of the Veterinary Regional Orthopedic Center (VROC), a premier, surgeon-owned specialty hospital focused on orthopedic and spinal surgery supported by rehabilitation, set to open in May 2025, featuring a 17,400 sq. ft. facility with five OR suites, an advanced rehabilitation department, and dedicated education/training spaces.
To support this project, we are seeking a highly skilled veterinary technician to assist with workflow development, protocol optimization, and operational setup. This role is structured as a pre-launch project position at PVM, with a direct track to transition into the Lead Technician role at VROC upon opening.
Position Overview
As Veterinary Operations & Workflow Coordinator, you will be responsible for structuring clinical workflows, implementing protocols and setting up instrumentation and equipment to ensure a seamless hospital launch. This role will start within PVM in a hybrid capacity and transition to an on-site leadership role at VROC upon opening.
You will work closely with surgeons, administrators, and project managers to develop gold-standard protocols, refine team structures, and build a highly efficient specialty hospital from the ground up.
Key Responsibilities
Clinical Workflow & Team Development
Adapt existing clinical protocols to define VROC’s workflow, ensuring efficiency, seamless communication, and superior patient outcomes.
Assist in structuring roles, drafting job descriptions, and defining clear team responsibilities.
Participate in candidate screening and the interview process to help build a top-tier clinical team.
Anesthesia & Medication Protocols
Working closely with surgeons develop pre-op, intra-op, and post-op medication and anaesthesia protocols.
Establish controlled drug processes adhering to DEA regulations, allowing easy management of reconciliation as a part of clinical workflow.
Work directly with the CUBEX Project Manager to create a structured drug list for onboarding to ensure full integration of medications, access levels, and workflow needs.
Practice Management System (PIMS) Implementation
Serve as a central figure in the PIMS build-out, actively participating in all aspects of system implementation, customization, and workflow integration.
Lead data entry, template customization, and protocol adaptation to optimize VROC’s consultation, surgical, and communication processes.
Consultation & Surgical Documentation
Establish gold-standard documentation for consultations, surgery, and discharge communication.
Creation of client survey to track environmental and dietary factors in patient health.
Integrate AI-driven medical scribe technology (EzyVet or third-party CoVet) to enhance efficiency and accuracy in medical records.
Sterile Protocol & Instrumentation Management
Develop interactive pack lists with visual guides to ensure sterile technique adherence and efficient restocking.
Collaborate with surgeons to finalize instrument pack structures, optimizing layout to maximize efficiency and sterility.
Inventory & Consumables Management
Finalize the opening consumable inventory list and establish minimum stock levels to ensure operational readiness.
Creation of vendor accounts, and organization of consumables and inventory storage to maximise efficiency upon opening.
Google Workspace & Documentation
Assist in creating and maintaining a shared drive structure, ensuring easy access to clinical protocols and training materials for staff onboarding.
Work Structure & Expectations
Initially more in-office days for orientation, transitioning to the potential of 50/50 remote work dependent on productivity. Flexible work schedule.
Weekly VROC project Zoom calls on Wednesdays at 7:30 AM (remote).
As-needed coverage of surgical technician shifts at Mobile Veterinary Specialist when staffing requires (8 AM - 5 PM); will not continue post-opening.
Ideal Candidate Profile
Experienced licensed veterinary technician (CVT/RVT) with a 3 year background in surgery, anesthesia and specialty hospital operations.
Strong organizational and problem-solving skills, with the ability to develop and refine clinical workflows.
Proficiency in PIMS systems, CUBEX medication management and AI-driven documentation tools.
Detail-oriented and process-driven, with the ability to translate clinical expertise into structured, efficient hospital operations.
Comfortable in a dynamic, pre-launch, start-up environment, contributing to a new hospital’s clinical foundation before stepping into a lead technician role.
