Position Summary:
The Transportation Coordinator is an entry-level role ideal for individuals who are new to the logistics industry. The Transportation Coordinator will assist in ensuring that shipments are managed efficiently, ensuring timely deliveries and providing the necessary support to keep operations running smoothly.

After gaining enough experience, the Transportation Coordinator can transition into the Account Executive role, where they will be responsible for independently managing customer accounts, shipments, and operations. Career advancement could lead to a Senior Account Executive role, taking on larger accounts and supervising junior staff, with potential for further leadership opportunities.
Key Responsibilities:
1. Supporting Transportation Operations
- Assist with Shipment Tracking: Monitor and update shipment statuses to ensure all deliveries are on time. Address any issues or delays by escalating to the Senior Account Executive.
- Communicate with Customers and Carriers: Provide general shipment updates to clients and assist in addressing basic customer inquiries or concerns under the supervision of the Senior Account Executive. Work with carriers to confirm deliveries and ensure timely movement of freight.
- Assist with Scheduling and Delivery Management: Help schedule and coordinate delivery appointments with customers, drivers, and warehouses to meet delivery windows.
2. Administrative Support
- Data Entry & TMS Management: Input accurate shipment details into the Transportation Management System (TMS) and ensure records are updated in real-time.
- Prepare and Process Documentation: Assist in preparing and maintaining necessary shipping documents such as rate confirmations, bills of lading, and delivery receipts.
- Customer Record Maintenance: Keep customer profiles, shipment histories, and related data organized and updated in the system.
3. Problem-Solving and Issue Resolution
- Support in Dispute Resolution: Help resolve any issues that arise during the transportation process, from minor delays to discrepancies, under the guidance of the Senior Account Executive.
- Assist with Risk Management: Help identify risks such as route issues, delayed shipments, or customer complaints, and escalate them to the Senior Account Executive for further action.
4. Learning and Development
- Engage in Ongoing Training: Participate in continuous training to develop skills in logistics software, tracking processes, customer service, and supply chain management.
- Work Shadowing: Learn directly from the Senior Account Executive by providing support and observing how they manage client accounts and resolve logistics challenges.
Qualifications:
- A high school diploma or equivalent required. A degree in business, logistics, or supply chain management is a plus, but not required.
- No prior logistics experience is necessary. However, any customer service, administrative, or logistics exposure is considered beneficial.
- Willingness to undergo training for logistics operations, software tools, customer service, and general industry practices.
- Excellent verbal and written communication, multi-tasking, prioritization, and problem-solving skills.
- Excellent attention to detail, especially in a fast-paced environment.
- A strong desire to provide great customer service and ensure clients’ needs are met with efficiency and professionalism.
- Comfortable using basic office software such as Microsoft Office and email. Familiarity with Transportation Management Systems (TMS) or willingness to learn is important.
