We are seeking a detail-oriented and organized Medical Office Specialist to join our team. This role is responsible for coordinating surgery scheduling, managing referrals, and ensuring a seamless experience for both patients and providers. The ideal candidate will have excellent communication skills, a strong understanding of medical office procedures, and the ability to multitask in a fast-paced environment.

Key Responsibilities : Surgery Scheduling :

  • Coordinate and schedule surgical procedures with physicians, hospitals, and outpatient centers.
  • Verify patient insurance coverage and obtain prior authorizations as needed.
  • Provide patients with pre-operative instructions, including necessary paperwork and preparation requirements.
  • Confirm surgery appointments with patients and medical staff, ensuring all necessary documentation is completed.
  • Communicate with surgical teams regarding any changes, cancellations, or rescheduling.

Referral Coordination :

  • Process and track patient referrals, ensuring timely scheduling with specialists.
  • Verify insurance requirements for referrals and obtain necessary authorizations.
  • Maintain communication with referring and receiving providers to facilitate seamless patient care.
  • Follow up with patients to confirm appointment scheduling and address any concerns.
  • Administrative Support :

  • Maintain accurate and up-to-date patient records in the electronic medical system.
  • Answer phone calls and address patient inquiries related to scheduling and referrals.
  • Work collaboratively with medical staff to ensure efficient workflow and patient satisfaction.
  • Adhere to HIPAA regulations and maintain patient confidentiality.

  • Strong organizational and multitasking abilities.
  • Proficiency in EMR and scheduling software.
  • Knowledge of medical terminology, insurance verification, and prior authorization processes.
  • Excellent verbal and written communication skills.
  • Ability to work independently and collaboratively in a team environment.
