Shipping and Receiving Manager Job Duties:
1. Leadership & Supervision
· Oversee daily operations of the shipping and receiving department, ensuring smooth and efficient workflow.
· Supervise and train shipping and receiving employees, providing guidance and addressing performance issues.
· Develop and implement departmental policies, procedures, and best practices to ensure accuracy and efficiency.
· Maintain excellent customer relations – local and overseas
1. Strategic Planning
· Plan and schedule shipments and deliveries to optimize productivity and reduce costs.
· Collaborate with other departments (e.g., inventory, procurement, customer service) to align shipping schedules with production needs and customer deadlines.
· Manage relationships with customers and negotiate contracts for shipping services.
1. Inventory Control & Management
· Ensure accurate inventory records through Indysoft
· Monitor Indysoft to track incoming and outgoing equipment to ensure timely and accurate processing.
· Implement strategies to improve equipment to reduce turnaround time.
1. Budget & Cost Management
· Monitor shipping and receiving budgets, ensuring costs are within projected limits.
· Identify cost-saving opportunities, such as negotiating better shipping rates or improving operational efficiency.
· Track freight costs, insurance, and handling expenses to ensure they align with financial forecasts.
· Maintain PMI product ordering list
· Order parts as requested and maintain vendor reliability.
1. Compliance & Safety
· Ensure all shipping and receiving operations comply with company policies and relevant industry regulations, including health and safety guidelines.
· Oversee employee safety training, ensuring safe materials, machinery, and equipment handling.
· Manage documentation for regulatory compliance, such as customs paperwork for international shipments.
1. Problem Solving & Issue Resolution
· Address and resolve any issues related to delayed shipments, damaged goods, or discrepancies in order fulfillment.
· Coordinate with carriers and suppliers to troubleshoot any logistical problems.
· Implement corrective actions to prevent recurring problems in the shipping and receiving process.
· Coordinate with customers for any corrections on paperwork or customer relation issues.
· Coordinate with the Lab manager for day-to-day operations or any corrections needed with equipment or techs.
1. Onsite Support: (Local & Overseas)
· Provided onsite paperwork (week prior to onsite if possible)
· Scheduling of any accommodations needed: Flight, hotel, car rentals..
· Reconcile completed onsite customer calibration lists for invoicing
· QA paperwork before being sent to the customer
· Communicate with customers for corrections or missed paperwork
1. Vehicle Maintenance:
· Maintain monthly maintenance checklist
· Maintain work vehicle servicing (oil changes, recalls, tire rotations)
· Maintain work vehicles are full on gas at all times.
Shipping and Receiving Employee Job Duties:
1. Processing Shipments
· Prepare outgoing shipments by packing, labeling, and processing goods according to company procedures. (via: Slack, Indysoft, Worldwide Express, Ryder, Fedex)
· Receive incoming shipments, verifying accuracy against purchase orders and inspecting for damage or discrepancies (Indysoft)
· Track shipments and update vendor reliability when parts or equipment are shipped or received for parts ordered or OEM repair.
1. Documentation & Records
· Maintain accurate records of shipments, including packing slips, delivery notes, and inventory adjustments.
· Prepare shipping documents (e.g., bills of lading, customs forms) for domestic and international shipments.
· Report any shipping or receiving discrepancies to the manager or supervisor.
1. Equipment Operation
· Operate pallet jacks, and other material handling equipment to move equipment and packages.
· Able to lift 50lbs
· Maintain equipment in good working condition, reporting any issues to the manager.
1. Quality Control
· Inspect incoming shipments for damaged or incorrect items and report issues to the manager.
· Ensure that outgoing shipments are packed securely and correctly to avoid damage during transit.
· Assist in quality assurance checks to verify that items being shipped meet customer specifications.
· QA certification on equipment calibrated for any corrections
· Maintain internal mistake log for any corrections needed
1. Safety & Cleanliness
· Follow all safety protocols for handling materials, especially hazardous or heavy items.
· Maintain a clean and organized workspace, ensuring that aisles and storage areas are free of obstructions.
· Report any unsafe working conditions or potential hazards to management.
