Job Summary:
We are seeking a proactive and detail-oriented Administrative Assistant to provide essential support to the Safety Supervisor, Plant Managers, and Dispatch team. This position will involve a variety of administrative duties, including assisting with new hire paperwork, providing backup for the dispatcher, and managing other general administrative tasks to ensure smooth day-to-day operations.

Key Responsibilities:

  • Administrative Support:
  • Provide administrative assistance to the Safety Supervisor and Plant Managers, including assisting with schedules and handling correspondence.
  • Assist in preparing and organizing new hire paperwork, ensuring compliance with company policies and legal requirements.
  • Coordinate and maintain office supplies, ensuring that necessary materials are stocked and available for staff.
  • Dispatcher Backup:
  • Act as a backup for the dispatcher by handing out delivery tickets and making calls as needed.
  • Ensure that all dispatcher-related tasks, such scanning and indexing delivery tickets are completed accurately in the absence of the primary dispatcher.
  • Document Management:
  • Assist with maintaining and organizing company records, including employee files, training records and safety documentation.
  • Ensure accurate filing and storage of confidential materials in accordance with company guidelines.
  • General Administrative Tasks:
  • Answer and direct phone calls, take messages, and provide general assistance to staff and visitors.
  • Assist with the scheduling and coordination of meetings, events, and training sessions by ordering food and having paperwork and supplies ready.
  • Perform other administrative tasks as assigned to support daily operations.

Qualifications:

  • Proven experience in an administrative or clerical role, ideally within a manufacturing, industrial, or safety-focused environment.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously and prioritize effectively.
  • Excellent communication skills, both written and verbal.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) or equivalent software.
  • Ability to maintain confidentiality and handle sensitive information.
  • Detail-oriented and capable of working independently with minimal supervision.
  • Bi-lingual is a plus!

Physical Requirements:

  • Ability to sit for extended periods, occasionally lift light objects, and move about the office or facility as needed.

Work Environment:

  • Office setting, with occasional movement to other areas of the facility as needed.

Job Type: Full-time

Pay: $18.00 - $22.00 per hour

Expected hours: 40 per week
