Job Overview:
We are seeking a highly organized Executive Assistant to support our Chief Operating Officer (COO). This in-person role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will be a strategic thinker, a problem solver, and a trusted partner to the COO, ensuring seamless day-to-day operations and efficiency.
Key Responsibilities:
Administrative & Executive Support:
• Manage the COO’s calendar, schedule meetings, and coordinate appointments, ensuring optimal time management.
• Screen and prioritize emails, phone calls, and correspondence on behalf of the COO.
• Prepare reports, presentations, and other materials for internal and external meetings.
• Handle confidential and sensitive information with discretion.
• Act as a liaison between the COO and internal/external stakeholders.
• Coordinate leadership meetings, including agenda preparation, note-taking, and action item tracking.
• Plan and coordinate domestic and international travel arrangements, including flights, accommodations, and itineraries.
Cross-Functional Collaboration:
• Work closely with other executive assistants and team members to ensure alignment across leadership.
• Assist with special projects and initiatives as assigned by the COO.
Qualifications & Skills:
• High school diploma or equivalent.
• Proven experience as an Executive Assistant, preferably supporting C-suite executives.
• Strong organizational skills with the ability to multitask and prioritize effectively.
• Excellent communication skills, both written and verbal.
• Proficiency in office tools such as Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
• High level of discretion and professionalism in handling confidential matters.
• Problem-solving mindset with a proactive and resourceful approach.
• Ability to work independently while maintaining flexibility and adaptability in a dynamic environment.
• Ability to pass drug screening and criminal background check.
