Program: IOTSS (Intensive Outpatient Treatment and Support Services, IOTSS)

Starting Salary: $36,400.00
Job Description/Summary
This position assists the IOTSS team with daily program organization and general office management duties.
Responsibilities
- Courteously greets consumers and visitors in person or via telephone, determines their needs and directs them accordingly.
- Exhibits a trauma informed approach to customer service, maintaining appropriate boundaries, and confidentiality.
- Documents all consumer interactions in the Call Log or Memo to Chart and notifies applicable staff; Maintains attendance records for consumers.
- Schedules and tracks medication management appointments including follow up.
- Processes faxes and referrals, including tracking and follow up of referrals from hospitals, access, & community for Director’s review
- Ensures completion of point of entry (POE) Intake Referrals, entry for E-Labs, tracks and receives statistics, completes reports as needed, assists APN with prior authorizations and medication statuses.
- Schedules intake appointments and confirms appointments one day in advance.
- Distributes petty cash to staff for program needs, submits petty cash expenditures, and timely banking of petty cash for distribution; reconciles petty cash.
- Provides typing as needed for staff members, uploading documents, and sends certified mail outreach letters as requested by clinical staff.
- Submits purchase orders for general office supplies and maintains inventory of all office supplies for the department.
- Oversees the waiting room area and follows policy and procedure for opening and closing of the building, including the alarm system.
- Performs other related duties as assigned.

Qualifications
- Education - High School Diploma or equivalent
- License - Valid NJ Driver's License in good standing
- Experience: Some previous medical office or related healthcare administrative experience preferred.
- Other: Experience with Qualifacts and/or another electronic records system preferred; Valid driver’s license, record in good standing
