Administrative Assistant/ Support Specialist

We are currently seeking a dedicated and detail-oriented Administrative Assistant/ Support Specialist to support our general office operations and production scheduling.
The Administrative Assistant/ Support Specialist is responsible for handling general administrative tasks, supporting production scheduling, assisting in safety management, and providing order processing and customer communication support.
Key Responsibilities:
General Administrative Tasks:
- Answer incoming calls, greet visitors, and manage office supplies.
- Maintain and organize filing systems and company databases.
- Handle special projects, prepare reports, presentations, and meeting materials.
- Perform data entry, manage electronic records, and monitor emails.
- Ensure compliance with company policies and maintain a clean office environment.
- Assist in the preparation and distribution of company communications.
Production Scheduling Support:
- Support in creating, maintaining, and adjusting production schedules.
- Assist in coordinating with production teams to ensure materials and resources are available.
- Help track and report on production progress and performance metrics.
- Aid in communicating schedule changes and updates to relevant departments.
Safety Management Support:
- Assist in performing regular safety inspections and facilitating safety meetings.
- Support in distributing safety equipment and developing safety policies.
- Help promote a culture of safety and ensure compliance with safety regulations.
- Aid in maintaining safety documentation and supporting safety training sessions.
- Assist in documenting and reporting safety incidents and preparing for safety audits and inspections.
- Help monitor and manage the inventory of safety equipment and PPE.
Order Processing and Customer Communication Support:
- Assist in reviewing and processing shipping orders and providing updates to customers.
- Support in addressing and resolving shipping-related inquiries or issues.
- Help use shipping software to process and track shipments and maintain shipping records.
Qualifications and Requirements:
- Education: High school diploma or equivalent required; additional education in office administration is a plus.
- Certificates, Licenses, Registrations: Certification in safety training is a plus.
- Required Experience: Proven experience in an administrative or safety role.
- Computer Skills: Basic proficiency in Microsoft Office Suite (Word, Excel, Outlook).
