Job Summary:
We are seeking a dedicated Business Office Manager who will be responsible for creating a warm and professional atmosphere for visitors, handling incoming calls, and providing administrative support for Prema at Ashton Hills LLC (“Prema”). The Business Office Manager will also assist with specific resident services as needed. This role will report directly to the Executive Director.
Qualifications:
- Excellent customer service skills and a desire to work with older adults.
- Good organizational skills and a mature, cheerful personality. Must possess good phone etiquette.
- Proficiency in Microsoft Office Word and Excel.
- Ability to read, write, and communicate effectively in English.
- Must be 18 years of age and pass a satisfactory criminal history check.
- Must undergo a physical exam by a licensed physician and pass a negative drug screen.
- Must be able to respond effectively in emergency situations.
- Previous management experience required.
Duties
- Primary Responsibilities:
- Possess and maintain knowledge about the community, its benefits, services provided, and the residents and employees.
- Answer incoming calls warmly, pleasantly, and professionally.
- Respond to calls following proper telephone etiquette and take detailed messages when necessary.
- Ensure prompt relay of messages to the intended person.
- Greet visitors, residents, family members, and employees warmly and provide helpful assistance.
- Maintain clean, neat, and inviting reception areas.
- Collect and distribute residents' mail.
- Complete 24 hours of continuing education in the initial year of employment and 16 hours annually thereafter.
- Maintain CPR and First Aid certification.
- Provide assistance with other resident services as requested by management.
- Receive and send packages for the Executive Director or other departments as instructed by the supervisor.
- Assist the Community Relations Director with handling inquiries and conducting tours as needed.
- Distribute mail to residents, Executive Director, and other departments on a daily basis.
- Assist the Executive Director and/or other departments with additional administrative duties as assigned.
- Schedule interviews and coordinate the hiring process for new employees.
- Ensure all employee files are maintained and up to date.
- Assist in onboarding new employees and ensuring compliance with necessary documentation.
- Create and maintain schedules for Care Staff.
- Assist the Executive Director with Payroll.
- Maintain records of Continuing Education and assignments for all staff.
- Participate in the Manager on Call rotation.
- Attend regular staff meetings and required in-service training sessions.
- Communicate effectively to convey information to residents, visitors, family members, and management.
- Review all communication tools used in resident care on a daily basis.
- Report any supply needs.
- Other primary responsibilities are required for this role as requested by the Executive Director.
- Notify the Executive Director of any concerns or questions raised by residents' family members.
Physical Job Demands and Requirements:
- Assist in the transfer of residents, adhering to proper body mechanics and safety measures.
- Frequently lift/carry up to 50 pounds.
- Frequently kneel, bend, and reach.
- Sit for up to two hours a day.
- Frequently support up to 75 pounds.
Job Type: Full-time
Pay: $17.00 - $19.00 per hour
