What are the responsibilities and job description for the Program Assistant position at PREMIER ATHLETICS FOR YOUTH DEVELOPMENT?
The Program Assistant will assume the duty of clerical and administrative support in order to optimize workflow procedures in the office. You will assist colleagues and executives by supporting them with planning and distributing information. You will be the point of reference for all queries, requests or issues and will be an integral part of Premier Athletics’ workforce.
The Program Assistant is responsible for recording and maintaining all Premier Athletics for Youth Development financial transactions, such as purchases, expenses, sales revenue, invoices, and payments. Being consistent, accurate, and minimizing errors are key characteristics for this position. It is indispensable to have a knowledge of accounting and to understand how to use accounting software systems. Technological literacy is incredibly valuable for this position.
Responsibilities:
- Answer phone calls and redirect them when necessary
- Manage the daily/weekly/monthly agenda and arrange new meetings and appointments
- Prepare and disseminate correspondence, emails, memos, and forms
- File and update contact information of employees, volunteers, customers, suppliers, and external partners
- Support and facilitate the completion of regular reports
- Develop and maintain a filing system
- Check frequently the levels of office supplies and place appropriate orders
- Make travel and entertainment arrangements
- Undertake occasional receptionist duties
- Maintain an accurate record of financial transactions
- Recording of debits and credits
- Use knowledge of local laws to comply with reporting requirements
- Monitor any variances from the projected budget
- Other duties as assigned by the Program Director
- Reports directly to the Program Director
Education and Skills Requirements:
- Associates degree or 2 years of experience as a secretary, accountant, or administrative assistant preferred.
- Familiarity with office organization and optimization techniques
- High degree of multi-tasking and time management capability
- Excellent written and verbal communication skills
- Integrity, professionalism, and organization skills
- Basic accounting knowledge
- Understanding accounting best practices
- Data entry skills
- High attention to detail
- Produce work with a high level of accuracy
- Skilled with internet use, email, web, MS Word, MS Excel or equivalent/compatible.
- Knowledge of Zoho or other applications.
