Job Summary:
As the Insurance Coordinator, you will play a vital role in supporting our patients by managing insurance claims and approvals, verifying coverage, and ensuring accurate financial records. You will also be responsible for integrating and optimizing our practice management software, Open Dental, with clearinghouses to streamline claims processing and maximize efficiency.
Key Responsibilities:
Insurance Management:
- Verify patient insurance benefits and eligibility prior to appointments.
- Submit dental and medical preauthorizations and track their status to ensure timely approval for treatment.
- Process insurance claims accurately and follow up on any outstanding claims to ensure prompt payment.
- Reconcile EOBs/ERAs and ensure proper posting of payments.
- Communicate with insurance companies to resolve discrepancies, denials, and appeals.
- Integrate and manage Open Dental software with clearinghouses, ensuring smooth claims submission, processing, and follow ups.
Patient Financial Coordination:
- Provide patients with clear and detailed explanations of their insurance benefits, financial responsibilities, and out-of-pocket costs.
- Work with patients to develop creative financial solutions, such as payment plans or financing options, to make treatment more affordable.
- Ensure that all patient accounts are up to date, including collecting co-pays and outstanding balances.
Administrative Support:
- Maintain accurate and organized patient insurance records in the practice management system.
- Prepare and provide treatment cost estimates for patients based on insurance coverage and benefits.
- Assist with end-of-day financial reconciliation and reporting.
Communication:
- Serve as the main point of contact for patients regarding insurance and billing inquiries.
- Collaborate with referring dental offices to facilitate pre-treatment approvals and coordinate insurance information.
- Maintain open and professional communication with the clinical and administrative teams to ensure seamless patient care.
Qualifications:
- Previous experience in insurance coordination, preferably in a dental or medical setting.
- Strong knowledge of insurance policies, claims processes, and preauthorizations.
- Familiarity with Open Dental software is preferred.
- Proficiency in dental terminology and procedures is a plus.
- Excellent communication and problem-solving skills.
- Ability to multitask and manage time effectively in a fast-paced environment.
