Job Title: Front Desk Administrator & Lead Management Specialist

Overview:
We are looking for a friendly and highly organized individual to join our team as a Front Desk Administrator & Lead Management Specialist. This role combines front desk operations, administrative tasks, customer service, and lead management. The ideal candidate will be the first point of contact for clients, providing exceptional service while handling appointment scheduling, membership inquiries, and payment follow-ups.

This position requires a proactive individual who can manage both in-person and remote client interactions, build relationships with leads, and ensure smooth day-to-day operations. Bilingual candidates (English & Spanish) are highly preferred to cater to our diverse clientele.

Key Responsibilities:Front Desk & Administrative Duties (On-Site)

  • Greet and welcome guests warmly, ensuring a positive first impression.
  • Handle check-in and check-out processes efficiently.
  • Answer phone calls, direct inquiries, and maintain excellent phone etiquette.
  • Maintain accurate guest and client records, reservations, and membership details using computerized systems.
  • Assist with clerical tasks, including data entry, filing, and proofreading documents.
  • Ensure cleanliness and organization of the front desk area.
  • Provide customer support by addressing concerns and resolving issues promptly.

Lead Management & Call Handling (Remote)Outgoing Calls:

  • Follow up on past-due memberships or down payments and collect payments.
  • Contact leads, build rapport, and schedule introductory lessons or appointments.
  • Handle objections and encourage leads to visit or engage with the business.
  • Occasionally return calls on behalf of other staff members.

Incoming Calls:

  • Check voicemail messages and distribute them appropriately.
  • Answer incoming calls professionally and take detailed messages.
  • Track referral sources (phone book, friend, advertisement, etc.).
  • Schedule appointments for introductory lessons and other sessions.
  • Address membership questions and resolve client concerns effectively.

Required Skills & Qualifications:

  • Bilingual (English & Spanish) candidates are highly preferred.
  • Strong administrative and clerical skills to manage front desk and remote operations.
  • Excellent communication and customer service skills to build relationships with clients.
  • Ability to handle phone systems and manage a high volume of calls with professionalism.
  • Experience in lead management, CRM software, or call center/customer service (1 year preferred).
  • Ability to handle objections and build rapport with potential clients.
  • Strong attention to detail for accurate record-keeping and document proofreading.
  • Must be comfortable working both on-site (for front desk duties) and remotely (for lead management/calls).

Job Details:

  • Job Type: Part-time
  • Pay: $10.00 - $12.00 per hour
  • Shift: Afternoon/Evening shift
  • Schedule:
  • Monday – Friday: 3-8pm
  • Sat 9am-1pm
  • Location: Hybrid (On-site for front desk duties, remote for call handling and lead management).
  • Training: In-person training required before starting the job.
