THIS POSITION IS FULL-TIME. CANDIDATES MUST BE ABLE TO WORK MONDAY-FRIDAY.
SUMMARY OF JOB:
Receives patients for the clinic in a professional and helpful manner and updates and processes patient information expediently and accurately into the Company’s practice management system.
DUTIES AND RESPONSIBILITIES:
- Courteously greets patients as they arrive at the front desk following the Company’s Five Star guidelines.
- Updates patient charts and creates new patient charts in the practice management system and inputs patient information into the practice management system without error.
- Prints charge slips, face sheets, HIPAA forms, financial responsibility forms and other appropriate paper work the requires patient signatures.
- Enters appropriate notes in the patient information page during the check in process and initials indicating that the information is correct.
- Monitors each patient as they are checked into the Company’s systems ensuring that their medical information is forwarded on to the physician as quickly as possible, thereby ensuring that medical care is not delayed by the check-in process.
- Applies and removes flags on patient data into the practice management system as required.
- Checks on referrals, patient account information and Medicaid eligibility.
- Verifies insurance in the Real Time Eligibility system.
- Checks the GPMS system and paper charts and transfers pertinent patient information into the practice management system.
- Answers the telephone professionally, locates files and distributes paper charts. Employs the use of “out guides” without fail. (West Office)
- Distributes faxes promptly.
- Updates patient rosters in the Company’s computer system for cancellations, “no shows” and arrivals.
- Is knowledgeable of and efficiently operates the Company’s practice management system, printers, fax machines, copiers, scanners, label machines and cameras without error.
- Performs the duties of the Switchboard Operator as needed. (West Office).
- Assists with the training of new employees.
- Is responsible for knowing the work schedule, observing work hours and maintaining a good attendance record. (See attached attendance and punctuality requirements.)
- Attends in-service programs as directed or required.
- Establishes and maintains effective working relationships with patients, employees, supervisors and the public. Exemplifies the Company’s Five Star Program.
- Follows all corporate and departmental policies and procedures and complies with the Employee Handbook.
- Performs other tasks as needed or directed.

DEGREE OF SUPERVISION:
Performs duties under direct and indirect supervision.
PERFORMANCE REQUIREMENTS:
- Accountability: Reports directly to the Supervisor of Reception.
- Education or Training: Must be a high school graduate or earned a GED. Medical Assistant training is preferred.
- Knowledge and Experience: Requires at least 1 year of previous work experience. Some computer experience is required.
- Dexterity: Must have good manual dexterity for handling charts and entering information into a computer. Must be able to function in an office setting. Must be able to type a minimum of 25 words per minute.
- Accuracy: Must be able to transcribe information received from patients, including insurance coverage, social security and telephone numbers without error.
- Physical Activity: Physical activity involves keying, reaching, carrying, looking, listening, talking, bending, lifting, sitting, walking and much standing (up to 95% of the day) resulting in medium work.
- Exertion Requirements: Medium - must be able to exert force to lift and carry from 20 to 50 pounds up to 10 feet occasionally, from 10 to 15 pounds of force up to 10 feet frequently, and up to 10 pounds of force constantly to move objects. Must be able to sit, walk or stand to a significant degree depending on task requirements.
- Working Conditions: Works in an office setting, which is well lighted, ventilated and temperature regulated.
- Must be able to concentrate on work tasks amidst distractions, such as noise, conversations and foot traffic.
- Must be able to work in a confined area performing repetitive work for extended periods of time.
- Hazards or Risks: In office minimal.
- Worker Characteristics: Must have responsible, ethical and professional manner with the ability to listen, learn and organize. Must be able to communicate with people of different races, sexes, ages and social classes.
- Non-performance Requirements: Must have a valid driver’s license or picture identification and a Social Security card or work permit.
