Position Summary
The Front Office Representative creates an environment and culture that enables us to fulfill our mission to provide exceptional patient service while performing all aspects of front office including but not limited to; check-in, check-out, call center, and scheduling. The ideal candidate would be an individual seeking to focus on administrative duties in the surgical field.
Essential Functions
An individual must be able to perform each essential function satisfactorily with or without accommodation. The requirements listed below are representative, but not all inclusive, of the knowledge, skill, and/or ability required.
Responsibilities
- Appointment scheduling via phone, email or text; resolves any scheduling issues quickly and professionally following office protocols
- Oversee Virtual Assistant
- Answer phone calls and transfer appropriately
- Up-selling appropriate treatment options to facilitate necessary treatment plans with patients as necessary
- Remain up-to-date with accurate product and treatment education to assist with patient questions
- Check patients in for appointments; verify insurance when applicable, verify demographic information at each visit, collect co-payments and or patient balances
- Scan patient identification card and insurance when applicable
- Inform patients of delays or other situations that may result in a longer than normal wait
- Have a clear understanding of provider schedules and different appointment and surgery types
- Check out patients and schedule return visit as needed
- Keep the reception/waiting area/restrooms/exam rooms clean, organized and products stocked at all times
- Any duties or projects as assigned by Practice Owner
Qualifications
- High school diploma or GED required
- Minimum of one year experience working in a medical office, required
- Experience working for a surgical practice, preferred
- Bilingual in English and Spanish required
Knowledge/Skills/Abilities/Talents
- Knowledge of medical practice procedures and functions, preferred
- Previous experience using EHR systems
- Previous experience with telephone systems and office equipment including copiers, fax machines and computers
- Knowledge of medical records policies including state and federal compliance, preferred
- Knowledge of medical terminology, preferred
- Previous experience with insurance authorizations
- Good oral and written communication skills
- Ability to develop and maintain effective and professional working relationships with patients, medical staff, coworkers and the public
- Ability to react calmly and effectively in emergency situations
- Ability to interpret, adapt and apply guidelines and procedures
- Ability to work with a diverse population, demonstrating patience and professionalism
- Ability to maintain strict confidentiality at all times
- Provide the highest level of customer service at all times
- Must be a team player with a positive attitude, goal oriented and driven
- Ability and desire to represent the company in a professional manner
- Ability to work with and without supervision and perform a variety of routine tasks
- Previous experience with Weave phone and payment system a plus
Physical Demands
- Regularly required to sit, stand, walk, speak and hear
- Sufficient hand dexterity to use a computer keyboard and be capable of reading a computer screen
- Occasionally lift and/or move up to 20 pounds

- Practice Owner
Classification
- Full-time position, non-exempt
Schedule
- Monday-Friday 9 AM- 4 PM
Salary
- $16.50-$18 an hour, depending on experience
