The Billing Specialist is an introspective and analytical team member who supports the day-to-day billing operations at PTR. This role requires a professional with exemplary attention to detail to help optimize productivity in a critical component of our business. The focus of this job is on producing high-quality, detailed work based on established standards, guidelines, and procedures. Precise, consistent work output is essential. This role also requires patience and a willingness to handle and complete one task at a time.
COMPENSATION
This position has a competitive compensation package that is a combination of hourly base pay plus the potential for profit sharing paid quarterly after 1 year of employment.

HOURS
Monday - Friday 8:00 AM - 5:00 PM ET
RESPONSIBILITIES
- Accurately create and process invoices, spreadsheets, and credit memos promptly.
- Enter invoices into portals efficiently.
- Conduct billing research by collaborating closely with the sales team to resolve any discrepancies or issues with reasons for returns.
- Ensure all billing is completed and sent out within a one-week deadline.
- Proactively communicate workload challenges to leadership by raising concerns when facing delays or backlogs.
- Collaborate with IT to ensure billing systems and portals are up-to-date and functioning efficiently.
- Create and manage reports that track billing efficiency, discrepancies, and tax compliance.
- Identify opportunities to improve billing workflows and suggest process improvements.
- Act as a liaison between billing, AR, and other departments to resolve complex issues or integrate new procedures.
- Ensure all billing operations comply with company policies and relevant regulations.
- Maintain and update procedural documentation and checklists related to billing operations.
- Participate in special projects, such as system migrations or new portal implementations, ensuring smooth transitions.
- Generate tax invoices as needed.
- Create consolidated invoices as needed in Power BI.
- Assist with cash applications when necessary.
REQUIREMENTS
- MUST HAVE
- Prior experience in a related accounts receivable billing position; an undergraduate or associate degree in the billing field may be considered in lieu of experience.
- High school diploma or equivalent GED.
- Maintain focus and productivity in a fast-paced, frequently interrupted work environment.
- Foster a positive team culture by extending grace and understanding to sales when errors occur, supporting a collaborative atmosphere.
- Proficiency in Microsoft Office, including Word and Excel.
- High degree of attention to quality, detail, and correctness.
- Good judgment in a variety of situations.
- Strong verbal and written communication skills.
- Demonstrated professionalism, including while working under pressure.
- Ability to handle multiple projects under tight deadlines while maintaining a realistic balance among priorities.
- NICE TO HAVE
- Experience with Dynamics 365 or Microsoft Power BI.
- Manufacturing billing specialist experience.
