POSITION OVERVIEW
This position plays a role in the development and implementation of our business model and the general growth of youth sporting events across the country. The Assistant Operations Manager duties and responsibilities include providing administrative support to the national directors, regional directors and managers to ensure efficient operation of the company. The position supports managers and employees through a variety of tasks related to event organization and communication - both internal and with teams. In-person position in Westfield, IN headquarters.
ESSENTIAL DUTIES & RESPONSIBILITIES
- Assist national executive director in collaboration with regional directors and operations of events across the country.
- Handle customer relationships and assist with their individual service needs.
- Work collaboratively in a team environment to produce desired results.
- Works closely with senior leadership to develop, maintain, and analyze all financial and performance reports related to pre and post event management.
- Provide organizational and clerical support.
- Recognize individual customer service needs and resolve their inquiry.
- Maintain and update customer related information systems to ensure that our customers hold accurate records.
- Responsible for accurately receiving and processing customer deposits, including cash, checks, and other forms of payment.
- Monitor accounts to identify overdue payments.
- Find and contact customers about overdue payments.
- Update account status records and collection efforts.
- Apparel distribution and design assistance.
- Social media and marketing assistance duties.
- Maintain accurate financial records and perform accounting tasks such as recording transactions, reconciling accounts, and processing payments.
- Assist in the preparation of financial statements, reports, and budgets.
- Ensure compliance with accounting principles, company policies, and relevant financial regulations.
- Process invoices, payments, and expense reports while maintaining proper documentation.
- Support month-end and year-end closing procedures, including journal entries and account reconciliations.
- Assist in analyzing financial data to identify trends, variances, and cost-saving opportunities.
- Coordinate with vendors, clients, and internal teams to ensure accurate financial reporting and timely payments.
- Perform other accounting and administrative tasks as assigned to support the finance and event management teams.
REQUIRED QUALIFICATIONS, SKILLS, ABILITIES & COMPETENCIES
- Bachelor’s Degree in Business, Marketing, Sports/Event Management, or related field
- Excellent Organizational and Project Management skills with a team-first attitude
- Ability to write clearly and be proficient with word processing applications
- Advanced proficiency with Microsoft Excel and Google Sheets
- Proven ability to display initiative and dynamic problem solving skills
- Driven to understand needs and desires of the customer
- Ability to think strategically and execute with excellence
- Ability to multi-task and work in a fast-paced, flexible environment
- High energy level is essential; strong, dedicated work ethic and an impeccable character
- Ability to work proficiently within information systems
- Live in or relocate to the Indianapolis area to work in national headquarters
PREFERRED QUALIFICATIONS & EXPERIENCE
- 2-3 years of professional experience in tournament/event management, accounting/finance, or marketing
- Strong knowledge of managing accounts receivable, accounts payable and accounting principles, with experience in financial statement preparation, budgeting, and financial reporting.
- Proficiency in managing financial records, reconciling accounts, and ensuring compliance with accounting standards.
