Position Summary

Reporting to the President of PrePass, we are looking for an Executive Assistant to support our Senior Leadership Team at our Corporate Office in Phoenix. The ideal candidate will demonstrate meticulous attention to detail, will be a proactive problem-solver with exceptional communication skills. Additionally, the Executive Assistant will be adaptable, resourceful, and anticipate needs while maintaining confidentiality.

What You'll Do


Event Planning

  • Support the company culture by participating in the planning of company-sponsored events. Planning includes sourcing and booking venues, point of contact for vendors, oversight of budget, coordinating with stakeholders, creating timelines and assisting with internal communications
  • Oversee the execution of the event. Readily available to address last minute issues, changes, or questions that may arise
  • Responsible for the post-event wrap up to include soliciting feedback, providing a recap, and ensuring the event is shared internally and externally
  • Assist with logistics for onsite and offsite leadership meetings


Executive & Business Administration

  • Manage the Outlook calendars and prioritize meeting requests
  • Prepare, compile, and organize data and reports, while maintaining the highest degree of confidentiality and discretion
  • Coordinate travel arrangements for senior leaders and when appropriate, visitors
  • Process expense reports in a timely and accurate manner
  • Prepare conference rooms for meetings, including technology setup and cleanup
  • Organize All Hands Meetings
  • Schedule meetings on behalf of senior leaders
  • Assist in preparing PowerPoint presentations
  • Maintain various databases for contacts, files, and materials


Cross-Functional & Ad Hoc Support

  • Provide support for urgent or high-priority business needs
  • Serve as the go-to resource for internal communication and coordination
  • Oversee office-related functions such as purchasing supplies, managing building-related escalations, and assisting the Receptionist desk when needed


Requirements

Who You Are

  • 5 years of experience as an Executive Assistant, supporting senior leaders
  • Proficient in Microsoft Suite (Excel, Word, PowerPoint, Outlook) and expense management software (Concur preferred)
  • Strong organizational and multitasking abilities in a fast-paced environment
  • Ability to work independently
  • Excellent verbal and written communication skills
