Basic Commitment: This position calls for a commitment to the mission of the Presbyterian Church (U.S.A.) as noted in its theological confessions, the Book of Order, and the actions of the General Assembly.
Summary of Position: Provides a variety of program development and support services for the work of Presbyterian Women (PW), including managing all PW databases, and provides administrative support for the executive director, the Churchwide Gathering chair, and PW National Board as assigned by the executive director; provides editorial assistance for the editorial staff; and assists in PW’s stewardship/funds development work by performing the following duties.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Administrative Services. Provides executive administrative services for the executive director and other PW associates and editorial staff, as assigned by the executive director. Provides administrative support services for the PW National Board as assigned by the executive director.
- Meetings. Manages Zoom or other electronic platform meeting scheduling and registration, if required, and assists with hosting meetings. Supports in-person meeting planning as requested.
- Churchwide Gathering. Provides administrative support services for the Churchwide Gathering chair, registrar, and committees and task groups as requested by the executive director. Supports the registration process. Manages meeting on-site and electronic logistics, online registration for meetings, materials distribution.
- Triennial Business Meeting. Provides administrative support for the triennial Business Meeting, including managing the voting representative database, assisting the executive director with voting rep communications, providing support during the business meeting.
- Databases. Manages and maintains all PW, Inc., databases: PW fund raising and constituency management records, including the PW files in the Raiser’s Edge database; the Horizons representative network database; digital communication database (currently Campaign Monitor).
- Constituency Relationships. Checks the general PW, Inc., email inbox and routinely answers questions or forwards questions to appropriate staff. Shares information from the inbox regarding meetings, mission updates, concerns.
- Stewardship. Assists with mailings and campaigns, creates mailing lists and manages distribution.
- Honorary Life Membership Program. Administers the PW Honorary Life Membership program including maintaining the master database file of Honorary Life Memberships, coordinating the printing, recording, inventory and distribution of membership pins and certificates, and memorial and recognition certificates.
- Editorial. Assists the editorial team with writer contracts and follow-up, editorial work, magazine indexing, and other editorial tasks as requested by the executive director.
- Production. Assists the production team with light production work, administrative tasks, contracts, and other projects as requested by the executive director.
- Promotion. Assists the marketing associate to plan and execute promotional displays, including PW Horizons magazine and Bible study, for PW and PC(USA) events. Assists with planning remote bookstores as requested by the marketing associate.
- PW Staff Team. Constructively participates in the life of the Presbyterian Women staff team, working in a cooperative manner with colleagues to accomplish its mission by participating in team meetings, committees, and task groups; sharing knowledge, information and ideas; understanding and providing dependable support work for the work of the PW team and the people it serves; and completing assigned work in a manner that demonstrates accountability to PW goals, objectives and policies.
Education Experience
Bachelor’s degree preferred; associate’s degree or an equivalent combination of education and experience.
Experience
2-4 years administrative experience working with a multifaceted organization or program overseeing and assisting on a variety of projects.
Required Skills
Ability to take initiative and to work as a team; excellent organizational, problem solving and project management skills; excellent oral and written communication skills; experience with computer applications and software (see computer skills), working experience with administrative methods, systems and processes and meeting planning and delivery. Knowledge of and commitment to the purpose and program of Presbyterian Women and the theology, polity and structure of the Presbyterian Church (U.S.A.).

Computer Skills
Demonstrated ability with database software (Raiser’s Edge and similar); meeting registration software, internet software, Microsoft Office Suite applications (Word, PowerPoint, Excel) and teleconference software and online meeting management (Zoom, Microsoft Teams), meeting planning applications (Doodle, Sign Up Genius, etc.). Skills in design and design software, Microsoft Publisher or Quark Xpress, helpful.
