What are the responsibilities and job description for the Client Relationship Manager / Paraplanner position at President's Wealth Management?
Summary
President’s Wealth Management is an independent financial planning practice/team, based in Cleveland, Ohio. Our team has a 40 year history in comprehensive financial planning, working with business owners, corporate executives, and HNW families and individuals, as well as retirees and simpler situations. We work closely with just over 100 client families, typically net worths of $2MM to $50MM.
In addition to personalized planning, we manage investment accounts, annuities and insurances, company 401(k) plans, and other financial strategies for our clients. But we don’t simply “manage money” or “provide products”… we make sure clients are doing all the financial things, they should be doing. And we always follow through.
With this position in place, there will be 5 of us on our immediate team, operating in a larger office with other teams. Our team and client base has grown significantly in the last 10 years, and we are excited to expand with the help of this position.

The Position
As we have grown, our team and clients need a specialist who will be ingrained into clients’ unique situations. The goal of this role, is to combine your prior client service experience, such as a Paraplanner or Advisor, with your understanding of technical financial planning, to oversee clients’ evolving financial situations, and help manage the flow of follow-up actions that must be taken for a client. Initially, you will prepare the advisor for client meetings by reviewing the client’s situation and drafting a meeting agenda, and steer follow-up actions after client meetings. With proper advisory licenses, within 1-3 years you will have the opportunity to lead client meetings as an Associate Advisor and independently serve clients.
This role will maintain a clear understanding of each client situation, respond to clients’ technical questions, and make decisions regarding actions needed for clients. Our practice has created standardized processes and templates, to treat each client case in the same manner, and easily track a client’s situation.
Longer-term, this role may continue to grow with more client relationships (likely from referrals to the firm, from existing clients), and some of the Paraplanner responsibilities may need to be shed, over time, to another team member.
Main Responsibilities
In preparation for upcoming client meetings…
o Review the client’s digital file, determine documents to be requested, action items, update/print reports from various software (e.g. eMoney)
o Draft a detailed meeting agenda (using a template), then debrief with advisor, for further edits if needed
Join client meeting…
o Take notes on client preferences, feedback, and all follow-up tasks to manage for client
o Begin to lead interactions and presentation of some, then all parts of the meeting
o Eventually, grow into leading post-meeting interactions with and independent responses to client
After client meeting…
o Debrief all follow-up actions required (many of which were pending on the meeting agenda)
o Track/complete the tasks and actions applicable to your role, and email other team members of actions/details required for their completion
o Add to your CRM calendar, other follow-up steps to be addressed with client, later in the year
Call or email clients, as needed, regarding next steps required
o For example, exploration questions for Social Security, or for information regarding an existing account held elsewhere
o Relay client preferences to estate planning attorney, for attorney to draft documents
o Analyze a client’s 401k contribution level (via spreadsheet), to assure not maxing contributions too soon
Utilize financial software (eMoney) and templates to maintain and update clear records for our team to reference anytime, regarding a client’s family/financials/personal info— for all clients, in addition to those you serve directly
For new clients…
o Analyze, summarize existing investment and insurance statements (using standardized templates)
o On occasion, utilize eMoney financial planning software to generate financial models
For new paperwork needed (e.g., transfers, rollovers, new accounts)…
o Using an established internal process, email the specs required to the Client Service Manager, in order to prepare paperwork
o Help with internal clarification questions, regarding the client’s situation
Follow a disciplined process of tracking, to ensure all follow-up steps are eventually completed, for many clients simultaneously in motion
For some clients, draft and send an email update regarding their investment accounts, and call for any updates
As clients call or email with technical questions… research for the appropriate recommendation, respond to client, and debrief with advisor as needed
When insurance or annuity products are to be evaluated, request scenario illustrations from providers, review for accuracy, and debrief the recommendation with advisor
Assist with one-offs, such as downloading/saving latest investment reports from providers
