What are the responsibilities and job description for the Maintenance Supervisor I position at PRG Real Estate?
The Maintenance Supervisor I directs and administers the entire maintenance program, including but not limited to supervision of all tasks, preparation and implementation of budgets, purchasing and coordination of all shipments of supplies, record keeping, preparation of schedules, hiring, disciplining, evaluating, supervision, and termination of personnel, and performance of work orders and other jobs related duties as required.
Essential Job Functions
- Oversees and provides leadership, development, performance feedback and support to the on-site team.
- Counsels underperforming maintenance team members and provides critical feedback to improve performance.
- Assumes primary responsibility for preliminary interviewing and selection of the maintenance team.
- Participates in on call maintenance rotation responding to requests as needed.
- Coordinates daily with Property Manager on overall maintenance programs, projects, and expenditures.
- Coordinates with Property Manager and Regional Director on mass purchasing, contractual projects and programs, problem areas, budgeting, hiring, and training.
- Performs all duties and responsibilities including carpentry, masonry, painting, HVAC, appliances, exterminating, swimming pool maintenance, and reading plans and drawings.
- Maintains the physical condition of the property and immediately corrects unsafe conditions: e.g., broken gates leading to the pool, broken steps, open holes, broken/burned out exterior lights.
- Inspects vacant units, buildings, grounds, and public areas periodically.
- Schedules, controls, and maintains accurate records regarding preventive maintenance, service requests (received and completed), expenditures, apartment make-ready status, work-in-progress, etc.
- Assists in keeping grounds neat and free of litter. Rakes, sweeps, shovels, and plows, as circumstances warrant.
- Maintains and monitors tools and parts such as pool pumps, motors, chemicals, etc.
- Maintains and prevents liability with amenities such as the fitness center, playground, pools, etc.
- Ensures that all make-ready repairs and services are completed correctly in accordance with PRG standards and on schedule.
- Change locks and make keys.
- Removes and transfers heavy appliances and equipment from storage area to apartments (or vice versa) as circumstances warrant. Assists in moving abandoned furniture, appliances, etc., to dumpster when necessary.
- Manages Yardi system for handling resident service requests. Corrects situations within 24 hours when possible.
- Maintains adequate inventory of spare parts and maintenance materials to handle most common repairs and situations.
- Performs maintenance tasks personally or delegate technicians. Oversees and monitors work performed by technicians.
- Schedules maintenance personnel (if applicable) in conjunction with Property Manager so that maintenance is available for emergency purposes, 24 hours a day, seven days a week.
- Assists the Property Manager and Regional Director with overseeing maintenance budget and creating yearly property budget.
- Assists with the payment of bills, preparation of budget, and coordinates non-budgeted items with Property Manager.
- Follows Company purchase order systems and policies when purchasing supplies or scheduling vendor services.
- Reports all major repairs and requisitions to Property Manager prior to any expenditure of funds.
- Holds responsibility for managing contracts and supervising contractors.
- Resolves personnel problems, enforces safety practices, sets up training programs to educate individuals in all aspects of building maintenance.
- Conducts monthly safety meetings with office staff and maintenance employees to discuss pertinent laws and EPA and OSHA regulations governing property storage and management of hazardous materials, including solvents, flammables caustics and refrigerants.
- Works with Property Manager to determine when training is needed for maintenance staff.
- Performs safety related duties and strict adherence to the PRG Injury and Illness program.
- Works with Property Manager to serve as liaison with all local code enforcement officers.
- Schedules and performs minor and routine maintenance on all appropriate equipment on a regular basis. Inspects and ensures all tools are in excellent condition.
- Ensures that all storage areas and/or utility rooms remain locked when not in use.
- Identifies all utility meter cut-offs, apartment and fixture cut-offs, sewer cleanouts and prepares maps indicating locations.
- Coordinates with Property Manager to approve overtime and inspect work to ensure time was used appropriately.
- Performs other duties and special projects assigned by the Regional Maintenance Director and Property Manager.
- Coordinates and oversees the successful completion off all monthly and quarterly property preventive maintenance program per PRG policy.
- Maintains proper record keeping for refrigerant use in accordance with EPA and PRG policy guidelines.
- Conducts all business in accordance with Company policies/procedures, Fair Housing, American with Disabilities Act, Fair Credit Reporting Act, and all other laws pertaining to housing.
Knowledge, Skills, and Abilities
- Ability to lead teams to a performance level that exceeds expectations.
- Minimum of three (3) plus years of maintenance experience; multifamily industry experience preferred.
- Minimum of one (1) years’ experience supervising maintenance staff.
- CPO and HVAC certification preferred; Ability and willingness to obtain CPO and HVAC certification required.
- Demonstrated experience of maintenance systems, including inventory control, preventative maintenance, and work order record keeping.
- Demonstrated experience of mechanical systems and equipment including HVAC, landscaping, carpentry, painting, hydraulic systems, and electric motors.
- Proficiency in electrical troubleshooting of high and low voltage and the use of diagnostic equipment, including volt/ohm meters.
- Proficiency in plumbing repairs and troubleshooting.
- Ability to provide technical assistance to other maintenance associates as needed.
- Demonstrated ability to lead and manage staff.
- Strong written and verbal communication skills.
- Demonstrated ability to troubleshoot and problem-solve.
- Ability to see a project through to completion.
- Ability to perform in a busy, changing, multi-tasking work environment.
- Ability to pay close attention to detail and adhere to strict deadlines.
- Valid driver’s license required.
- High School diploma or equivalent experience required.
