This full-time, in-person position requires exceptional organizational skills, attention to detail, and a strong ability to multitask. You will manage the Personal Injury Managing Partner’s calendar, coordinate meetings and court dates, handle client communications, and ensure our case management system (SmartAdvocate) is optimized and fully utilized by the team. Additionally, you will provide guidance and coaching to team members on best practices for using SmartAdvocate.

Key Responsibilities:
Executive Support:
- Manage the Personal Injury Managing Partner’s calendar, scheduling meetings, court appearances, and other commitments.
- Coordinate and confirm court dates, ensuring no scheduling conflicts.
- Handle email and phone communications on behalf of the Personal Injury Managing Partner, maintaining a high level of professionalism.
- Ensure SmartAdvocate is fully optimized and updated with accurate data.
- Provide training and coaching to team members on SmartAdvocate best practices.
- Monitor system performance and recommend process improvements.
- Troubleshoot issues with SmartAdvocate and liaise with technical support as needed.
- Maintain detailed records of deadlines, meetings, and priorities.
- Organize and file case-related documents and ensure confidentiality.
- Assist with drafting and proofreading correspondence and legal documents.
- Serve as a point of contact for internal and external stakeholders.
- Foster a culture of accountability and excellence across the team.
- Identify areas where workflow or system efficiencies can improve.
- Proven experience in an administrative role, preferably in a legal or professional setting.
- Strong understanding and hands-on experience with SmartAdvocate or similar case management systems (CMS) is highly preferred.
- Technical proficiency with case management systems (CMS) or other database management systems and ability to train others effectively is highly preferred.
- Exceptional organizational and time management skills.
- Excellent written and verbal communication abilities.
- Ability to handle confidential and sensitive information with discretion.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Strong leadership and coaching skills to guide team members.
- A proactive, detail-oriented, and problem-solving mindset.
