We are seeking a professional and discreet Executive Administrator to provide high-level support to our executive team. This role requires exceptional organizational skills, sound judgment, and the ability to anticipate needs in a dynamic and evolving environment. As a key point of contact and support, the Executive Administrator will play a vital role in helping our leadership operate efficiently and effectively, while upholding the values and culture that define our business.

Salary Range: $28-$30 hourly

Key Role Responsibilities

  • Project Management
    • Coordinate and oversee projects on behalf of leadership, tracking timelines, deliverables, and resources to ensure successful completion.
    • Facilitate cross-departmental communication to align project goals and ensure project tasks are progressing as scheduled.
    • Prepare and present project updates, providing leadership with clear visibility on project status and outcomes.
    • Support corporate initiatives (e.g., company culture, development, technology rollouts, etc.) in line with executive goals.
    • Prepare briefing documents, background information, and data summaries to support executives' decision-making.
    • Support special projects, ensuring timelines and deliverables align with executive goals, and handle confidential information with discretion.
  • Document Management; Transaction Support
    • Collect signatures, receive and file documents, and maintain organized records of critical documents.
    • Support ongoing transactions by calendaring deadlines, tracking and filing deliverables, collecting signatures, drafting and proofreading documents and correspondence, and coordinating couriers and document deliveries.
    • Ensure that key documents are accessible, up-to-date, and securely stored in both physical and digital formats.
    • Maintain an organized filing system for all records, and manage document workflows in line with company policies and confidentiality requirements.
    • Coordinate complex calendars, schedule meetings, arrange travel, and handle confidential communications for executives and high-profile clients.
    • Plan high-level events such as company retreats, strategy sessions, or executive dinners, handling all logistics and ensuring a seamless experience.
    • Coordinate the onboarding process for new C-suite hires, ensuring they have everything they need to transition smoothly.
    • Draft and review internal and external communications, including announcements, reports, and memos, on behalf of executives.
    • Manage interactions with high-profile clients, board members, and other VIPs, coordinating hospitality and ensuring a positive experience.
    • Liaise with public relations or marketing teams to help manage executive appearances, media requests, and official statements.
  • Office Management
    • Oversee day-to-day corporate office suite functions, ensuring an organized, professional environment.
    • Manage office supply inventory, office equipment maintenance, and vendor coordination.
    • Supervise and manage the front desk team to ensure efficient customer service and adherence to company standards.
    • Train, schedule, and support front desk staff to provide excellent administrative support.
    • Monitor front desk procedures, ensuring smooth workflow, visitor management, and timely responses.
  • Financial Liaison
    • Act as a contact between the leadership/owners and the accounting department for financial requests.
    • Assist in processing financial documents, including requests, reimbursements, and expense reports.
    • Ensure accuracy and timely submission of financial records and requests.
    • Coordinate requests and matters for the owners and their family members, ensuring timely response and resolution.
    • Assist with personal matters, such as travel planning, event coordination, or scheduling personal appointments.
    • Coordinate special requests and unique family needs.
    • Handle confidential discretionary tasks with a high degree of professionalism and discretion.

    • Strong interpersonal skills to foster productive relationships with C-suite members, clients, vendors, and the executive support team.
    • Discretion and professionalism in handling sensitive and confidential information. Technical Proficiency:
    • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with the ability to quickly learn and adapt to additional software, such as project management, communication, and document management tools.
    • Knowledge of office equipment, systems, and technologies that support efficient operations and executive productivity.
    • Familiarity with financial and accounting software for expense reporting, budgeting, and basic financial oversight. Organizational & Time Management:
    • Exceptional organizational skills with the ability to manage multiple priorities, complex tasks, and competing demands in a fast-paced environment.
    • Effective time-management skills and the ability to work independently with minimal guidance, adapting to changing priorities and urgent requests.
    • Strong attention to detail and accuracy, ensuring high standards in all documentation, project tracking, and correspondence. Project Management & Analytical Expertise:
    • Demonstrated experience coordinating and managing high-impact projects, including setting timelines, tracking deliverables, and aligning resources to meet executive objectives.
    • Analytical skills to review data, prepare reports, and provide insights that support executive decision-making.
    • Excellent problem-solving abilities to anticipate needs, identify potential issues, and proactively recommend solutions.
  • Basic financial acumen with the ability to work closely with accounting as needed.
  • Attention to detail in handling financial records and transactions, ensuring accuracy and adherence to company policies. Leadership & Team Development:
  • Experience in supervising administrative staff, including training, scheduling, and providing ongoing support to foster a collaborative and high-performing team environment.
  • Ability to lead front desk operations, ensuring smooth visitor management and professional interactions that reflect the company’s values and standards. Operational Knowledge & Office Management:
  • Understanding of office management practices, including supply ordering, vendor coordination, and maintenance of office facilities to ensure an efficient work environment.
  • Knowledge of corporate policies, standard operating procedures, and governance to support executive and board functions. Adaptability & Stress Management:
  • Adaptability in managing shifting priorities, high-pressure deadlines, and emergency situations with composure and effectiveness.
  • Proven initiative, reliability, and discretion in all aspects of the role, consistently upholding a high standard of professionalism and confidentiality.


Education (level and type)

  • Bachelor’s degree in Business Administration, or a related field, preferred

Required Work Experience

  • Minimum of 5 years of experience as an Executive Administrator, Office Manager, or similar high-level administrative role required
  • Experience in a legal and/or real estate related role preferred but not required.
