Key Responsibilities

Strategic Leadership

  • Develop and implement portfolio-wide maintenance and facilities strategies, including preventive and predictive maintenance programs.
  • Provide leadership and mentorship to Area Service Managers, ensuring consistency across properties and fostering professional development.
  • Standardize maintenance processes, including make-ready procedures, CapEx project coordination, and vendor management.
  • Collaborate with senior leadership to align maintenance goals with broader company objectives.

Operational Efficiency

  • Lead the adoption and integration of advanced maintenance technologies, such as inventory management systems and KPI tracking tools.
  • Establish and monitor key performance indicators (KPIs) to evaluate operational efficiency, resource allocation, and team productivity.
  • Oversee procurement strategies to negotiate vendor agreements, maximize cost savings, and streamline supply chains.
  • Conduct regular audits of maintenance operations and CapEx projects, identifying areas for improvement and implementing solutions.

Team Development

  • Mentor Regional Service Managers and other maintenance leaders, fostering a culture of innovation, accountability, and excellence.
  • Develop and oversee training programs to enhance the skills and effectiveness of maintenance teams.
  • Facilitate regular meetings with maintenance leaders to discuss operational challenges, best practices, and performance goals.

Facilities Oversight

  • Ensure all properties meet safety standards, federal and local regulations, and company policies.
  • Drive initiatives to enhance the energy efficiency of facilities.
  • Develop and manage emergency preparedness plans, ensuring all staff are trained in emergency response protocols.

Vendor and Contractor Management

  • Build and maintain strong relationships with vendors and contractors, ensuring quality and cost-efficiency.
  • Oversee the bidding and contracting process for maintenance projects, repairs, and services.
  • Evaluate contractor performance and recommend improvements as necessary.

Financial Management

  • Collaborate with property and regional leadership to develop and manage maintenance budgets.
  • Analyze maintenance expenditures, identifying opportunities for cost optimization.
  • Provide insights and recommendations on capital expenditures and long-term asset preservation.

Resident Satisfaction

  • Champion initiatives to improve resident satisfaction through timely service delivery and maintenance excellence.
  • Oversee the resolution of escalated maintenance issues, ensuring high levels of responsiveness and communication.

Skills, Knowledge and Expertise

Communication & Interpersonal Skills:

  • Strong written and verbal communication skills with the ability to deliver courteous, professional service.
  • Effective interpersonal skills to build and maintain productive relationships with team members, residents, and vendors.

Technical Proficiency:

  • Proficient in Microsoft Office Suite and adaptable to additional software, including property management systems (e.g., Yardi) and accounting software.
  • Knowledge of safety programs, policies, procedures, and relevant laws (e.g., EPA, OSHA, employment laws).
  • Ability to operate mechanical equipment and use tools necessary to prepare units for occupancy per company standards.
  • Thorough knowledge of standard practices, materials, and tools in carpentry, as well as familiarity with building maintenance, construction methods, and HVAC systems (certification required).

Financial & Analytical Expertise:

  • Comprehensive knowledge of financial statements, budgeting, and accounting practices, with strong analytical skills to interpret and analyze financial data.
  • Excellent math aptitude, including the application of basic geometry to determine dimensions and materials needed.

Organizational & Time Management:

  • Strong organizational skills with the ability to manage multiple priorities, complex tasks, and meet deadlines under pressure.
  • Effective time management and problem-solving abilities, enabling independent work with minimal direction.

Leadership & Team Development:

  • Proven leadership experience in recruiting, motivating, and managing personnel, as well as fostering productive vendor relationships.

Real Estate & Operational Knowledge:

  • Deep understanding of real estate principles and practices, including safety regulations, maintenance techniques, and standard operating procedures.
  • Thorough knowledge of building trades, building codes, and familiarity with HVAC, plumbing, carpentry, appliances, construction, and property management operations.
  • Ability to read, interpret, develop, and work from sketches, blueprints, and specifications.

Adaptability & Stress Management:

  • Ability to work independently and respond effectively in high-pressure situations, including emergency management and project deadlines.
  • Demonstrated initiative, discretion, and professionalism in all aspects of the role.

Education (level and type)

  • Bachelor’s degree in Facilities Management, Engineering, Construction Management, or a related field, preferred
  • Vocational or Technical school education, especially in areas related to maintenance, engineering, or facilities management, preferred
  • Equivalent work experience acceptable in place of a degree or education
  • Additional certifications (e.g., Certified Facility Manager (CFM), Project Management Professional (PMP), or certifications from the Building Owners and Managers Institute (BOMI)), preferred

Required Work Experience

  • Minimum of 10 years of extensive experience in maintenance operations management within a large residential or commercial portfolio, required

Certifications and/or Licenses

  • EAP/HVAC Certification of Type I and II or Universal
  • Valid driver license legally allowing driving for work purposes during working hours;
  • Valid automobile insurance when operating a vehicle for business purposes;
  • Additional certifications (e.g., Certified Facility Manager (CFM), Project Management Professional (PMP), or certifications from the Building Owners and Managers Institute (BOMI)) is helpful but not required; Otherwise, None

Continuing Education Courses

  • Only those required to maintain certification or licensing
  • Completion of applicable Company training programs throughout employment
