This position plays a vital role in supporting the efficient operation and strategic growth of Price Brothers Management Company's residential properties. The Operations Administrative Assistant will require the skills listed below to effectively collect, analyze, and utilize data to optimize property performance, support operational improvements, and assist in strategic decision-making within the real estate and property management industry.
Key Responsibilities
Data Analysis and Metrics Monitoring:
- Collect, analyze, and interpret property-related data.
- Maintain accurate databases and use KPIs to measure property performance.
- Prepare comprehensive reports and presentations to convey data insights and recommendations
- Communicate findings and strategies effectively to support informed decision-making.
Recommendations and Strategy Development:
- Collaborate with leadership to develop data-driven strategies.
- Identify opportunities for cost savings, revenue growth, and operational enhancements.
- Coordinate with operational leaders to align property operations with strategic goals.
- Facilitate cross-functional collaboration and assist in policy and procedure development.
Administrative:
- Plan meetings and take detailed minutes.
- Must be proficient in Outlook, MS Word and Excel, and other similar computer programs.
- Use of various software packages and visual aids to produce accurate documents, presentation materials charts and graphics (proof, organize, layout, etc.) within established deadlines.
- Monitor project timelines, budgets, and quality standards.
Compliance and Process Improvement:
- Monitor property compliance with relevant regulations, leases, and contracts.
- Identify process bottlenecks and inefficiencies and propose improvements.
Vendor Relations:
- Assist in managing relationships with vendors.
- Evaluate current and future product needs to ensure competitive pricing and availability.
Skills, Knowledge and Expertise
- Data Analysis: Proficiency in data collection, analysis, and interpretation of property-related data. Ability to utilize statistical and data visualization tools to derive insights.
- Financial Acumen: Understanding of financial reports, budgeting, and the ability to assess property financial performance.
- Database Management: Experience in maintaining and updating databases to ensure accurate and up-to-date information.
- Key Performance Indicators (KPIs): Familiarity with developing and using KPIs to measure property performance and identify areas for improvement.
- Communication: Excellent verbal and written communication skills for conveying data insights and recommendations clearly and effectively to various stakeholders.
- Technical and Software Proficiency: Proficiency in data analysis tools and software, as well as proficiency in property management software and the Microsoft Office Suite.
- Team Collaboration: Strong interpersonal skills and the ability to work effectively within cross-functional teams.
- Organizational Skills: Meticulous attention to detail and efficient organizational abilities for managing multiple tasks and priorities.
