As our Client Care Coordinator, you’ll be the welcoming presence and organizational backbone that helps our clinic run smoothly, ensuring every family feels valued, and every day starts with a smile.
RESPONSIBILITIES:
- Client Experience: Be the warm, welcoming first point of contact for families—by phone, email, or in person. Set the tone for a positive client experience from the very first hello.
- Scheduling Coordination: Manage clinician and client schedules with strategy and care. You’ll anticipate needs, adapt to changes, and ensure everything runs like clockwork.
- Communication Hub: Act as the liaison between clients, staff, and inquiries—responding to phone calls, emails, and texts with professionalism and clarity.
- Administrative Oversight: Oversee day-to-day administrative functions of the clinic, including front desk operations, appointment management, and recordkeeping.
- Customer Service & Issue Resolution: When challenges arise, you’ll respond with empathy, clarity, and calm confidence to reassure families and support your team.
- Intake Management: Lead clients through the intake process, helping them feel informed, supported, and excited to begin care with us.
REQUIREMENTS:
- Strong organizational, interpersonal, and communication skills
- Warm, empathetic demeanor with excellent customer service instincts
- Tech-savvy and eager to learn new systems
- Proactive problem-solver who takes ownership and initiative
- Kind-hearted, collaborative, and team-oriented with a heart for helping others
- Available Monday–Friday, between 9am–5pm (25–40 hours/week)
JOB DETAILS:
- Choose full-time or part-time hours based on your lifestyle
- $18–$25/hour, based on experience
