Job Summary:
The Dispatcher is responsible for coordinating and managing the day-to-day operations of drivers, ensuring timely delivery of goods, optimizing routes, and maintaining clear communication with drivers, clients, and other internal departments. The Dispatcher ensures compliance with all transportation regulations while maximizing efficiency and cost-effectiveness.
Key Responsibilities:
- Load Planning & Assignment:
- Assign loads to drivers based on capacity, location, and delivery deadlines.
- Ensure drivers have the necessary information, including route details, delivery instructions, and safety requirements.
- Maintain an up-to-date schedule of active and upcoming loads.
- Route Optimization:
- Plan and optimize routes to reduce transit time and fuel costs.
- Adjust routes in real-time based on traffic, weather conditions, and road closures.
- Use dispatching software to monitor drivers and make necessary changes to routes or schedules.
- Driver Coordination:
- Communicate with drivers regularly to provide updates, instructions, and support.
- Address driver concerns, such as equipment issues or delivery challenges.
- Ensure drivers comply with Hours of Service (HOS) regulations to avoid violations and penalties.
- Customer Service:
- Maintain open communication with customers regarding delivery status, delays, or other issues.
- Address and resolve customer concerns or complaints in a timely manner.
- Work closely with the sales and operations teams to ensure customer requirements are met.
- Compliance & Documentation:
- Ensure all drivers comply with federal, state, and local regulations, including FMCSA standards.
- Keep accurate records of dispatching activities, driver logs, and delivery documentation.
- Monitor and ensure compliance with safety protocols and company policies.
- Problem Solving:
- Respond to unexpected issues, such as mechanical breakdowns, accidents, or delays, and develop contingency plans.
- Coordinate with repair services and roadside assistance when necessary.
- Technology & Reporting:
- Use transportation management software (TMS) and GPS systems to track shipments and monitor driver performance.
- Prepare reports on fleet performance, delivery timelines, and incident responses.
- Analyze data to improve dispatching processes and recommend improvements.
