Job Summary
The Mobile Phlebotomy & Courier Dispatcher serves as the operational hub for our mobile team. This role is responsible for receiving, organizing, and dispatching orders to our phlebotomists and couriers, ensuring efficiency and accuracy in service delivery. Orders come in via fax, text, phone calls, and our LIS system, and must be promptly entered into our dispatching system and assigned to the appropriate team members.
This role requires strong problem-solving skills, the ability to adapt to last-minute changes, and a keen sense of logistics management. The dispatcher must also communicate effectively with healthcare providers, mobile staff, and internal teams to maintain seamless operations.
Key Responsibilities
Dispatch & Order Management
- Receive and process orders from multiple channels with accuracy and efficiency.
- Input orders into the dispatching system and assign them to mobile phlebotomists and couriers based on location, availability, and urgency.
- Monitor and track the real-time status of dispatched team members, ensuring that each assignment is fulfilled on time.
- Adjust and reassign orders as needed due to last-minute cancellations, facility delays, or staffing shortages.
- Proactively identify route optimizations to minimize travel time and maximize efficiency.
Communication & Coordination
- Serve as the primary point of contact for mobile team members regarding order assignments and scheduling.
- Provide real-time updates to phlebotomists and couriers on traffic conditions, facility changes, or urgent orders.
- Communicate with healthcare providers and facilities to confirm order details and ensure timely service.
- Respond promptly to inquiries from patients, clients, and facility staff regarding scheduling and service expectations.
- Escalate urgent or unresolved issues to leadership to avoid service disruptions.
Customer Service & Problem-Solving
- Ensure that every patient and facility receives prompt and professional service, maintaining high customer satisfaction.
- Handle service-related concerns professionally and ensure timely resolutions.
- Support mobile teams with problem-solving when encountering unexpected issues in the field, such as access restrictions, patient availability, or transportation delays.
Documentation & Compliance
- Ensure all dispatched orders are logged accurately in the system for tracking and reporting purposes.
- Verify order details, including patient information, test requirements, and special instructions, before assigning dispatch.
- Maintain confidentiality and adhere to HIPAA regulations when handling sensitive patient data.
- Document and report any service delays, incidents, or customer complaints for review and resolution.
Process Improvement & Collaboration
- Identify bottlenecks or inefficiencies in the dispatching process and propose solutions to improve workflows.
- Work closely with operations, sales, and leadership teams to ensure smooth coordination between departments.
- Provide regular feedback on dispatch performance, including order turnaround times, service completion rates, and team efficiency.
Qualifications & Skills
- Previous experience in dispatching, logistics coordination, or healthcare operations preferred.
- Ability to multitask and prioritize in a fast-paced, high-pressure environment.
- Strong communication and problem-solving skills with the ability to adapt to last-minute changes.
- Excellent customer service skills, with a professional and patient-first approach.
- Proficiency with dispatching software and general computer applications.
- Strong attention to detail and organizational skills to ensure orders are processed correctly.
- Ability to work both independently and collaboratively with cross-functional teams.
Job Type: Full-time
Pay: $43,000.00 - $47,000.00 per year
